Office Administrator/ Coordinator
As the Bilingual Office Coordinator (English/Spanish) at the Mental Wellness Center, you will play a pivotal role in ensuring the efficient operation of our organization. - Administrative Oversight:
- Manage day‑to‑day office operations, including reception tasks, i.e., respond and write emails, pick up and distribute mail, and answer and make calls.
- Order supplies for the office, breakroom, and supply closet.
- Schedule and coordinate meetings, appointments, and events on behalf of the organization.
- Respond to and resolve administrative inquiries.
- Responsible for calendaring Zoom conference calls and launching the Zoom call in the conference room.
- Set up and clean up for on‑site meetings.
- Resolves IT issues by interfacing with staff and external IT contractors, tracking and monitoring technological problems, and reporting trends.
- Schedule IT server room maintenance.
- Maintain and update program material featured at MWC Headquarters.
- Performs general support for all MWC colleagues when communicated to.
- Inventory equipment to report needs.
- Human Resources Support:
- Assist in the recruitment, training, and onboarding process by reserving conference rooms.
- Assist in the onboarding process by establishing what tools will be needed for the newcomer to be successful on day one, i.e., desktop computer, laptop, phone, desk, and office supplies.
- Support the onboarding and training of new staff.
- Client Support:
- Serve as the initial point of contact for clients—providing them with a warm and welcoming environment.
- Assist clients with appointment scheduling and inquiries.
- Board Member Meetings:
- Create a welcoming and productive space by setting up the conference room and launching the IT required for the meeting, including Zoom, PowerPoint, etc.:
- Order and set up food and drinks.
- Print and distribute meeting documents, nameplates, and name tags.
- Maintain the Board (BOD) Portal up‑to‑date.
- Event Coordination:
- Support internal and external events, workshops, and seminars.
- Coordinate logistics, catering, and materials as needed.
