Job SummaryThe Executive Assistant to the Vice Chancellor for Research provides executive-level support for the daily administrative objectives of the Office of Research, manages all aspects of the VCR's calendar, schedules appointments and travel arrangements, ensures the VCR is fully briefed, and serves as the primary contact for Office of Research leadership.
Responsibilities- Manage the VCR’s calendar, including daily appointments, complex travel arrangements, and briefing materials.
- Provide calendar and scheduling support for the Associate Vice Chancellor, Assistant Vice Chancellor, and other leadership.
- Act as primary point of contact for meetings with the VCR and for planning activities involving Office of Research leadership.
- Exercise sound judgment, tact, and discretion in coordinating complex schedules and providing executive administrative support.
- Communicate directly with the VCR on a daily basis and act on priorities and directives.
- Interact with campus leadership, faculty, staff, external partners, and the public, maintaining broad knowledge of research enterprise.
- Handle confidential and sensitive matters with discretion and diplomacy.
- Coordinate correspondence, communications, and analysis of issues to provide recommendations.
- Perform complex administrative coordination and analysis based on university policies.
- 40% VCR Schedule – Provide executive-level support for the VCR’s daily objectives, schedule management, briefing, and event coordination.
- 20% Administration & Public Relations – Lead front‑office operations, serve as primary contact for scheduling, and professionally represent the VCR to campus and external constituents.
- 15% Support for Associate and Assistant Vice Chancellors – Provide calendar, travel, and event coordination tailored to each role.
- 15% Correspondence and Records – Draft and coordinate correspondence, respond to invitations, and manage records.
- 10% VCR Travel Coordination – Manage all aspects of VCR travel, including itineraries, documentation, and reimbursement.
- Familiarity with organizational processes, protocols and procedures.
- Proficient in common computer applications.
- Strong analytical and problem‑solving skills.
- Awareness of political sensitivities within the organization and external constituencies.
