Position Overview
This is a categorical position subject to continued funding. Under the direction of the assigned administrator, the DSPS Test Center Technician provides clerical, technical, and student support for the DSPS Test Center. The position supports the coordination and delivery of student test accommodations by preparing and distributing tests, maintaining records, assisting students and faculty, monitoring testing schedules, and supporting daily test center operations using the assigned testing management system.
EssentialDuties
- Prepare, print, organize, and secure tests, proctoring documents, and related testing materials generated through the assigned testing management system; monitor test bookings as materials are received; add or edit test instructions; mark tests as delivered; and file, sort, and return completed test materials to instructors to ensure accurate and timely processing.
- Ensure test security and integrity by following established procedures for handling, storing, distributing, and returning examinations and related materials.
- Adhere to strict scheduling and availability requirements by arriving early to prepare materials for daily operations and maintaining flexibility to support peak periods, including midterms and finals week.
- Proactively monitor and assist with room, staff scheduling and coordination for students requiring scribes, readers, assistive technology, and/or private testing spaces; oversee preparation of modified testing materials; send reminders to instructors; and alert the assigned administrator of any issues affecting accommodation implementation.
- Provide occasional direct support to students by proctoring exams, serving as a scribe, or reading test materials to ensure accommodations are delivered.
- Support students throughout the testing process by explaining procedures, timelines, and expectations; troubleshoot test scheduling or system-related issues; process late or revised test requests when appropriate; and involve the supervising coordinator as needed.
- Respond to faculty questions and concerns related to student examinations and test accommodations, including guidance on shared proctoring responsibilities, test status inquiries, scheduling and approval workflows, and permissible changes to student testing requests, with escalation or follow-up through the assigned administrator as appropriate.
- Greet and assist students, faculty, staff, and visitors on site, over the phone or via email; respond professionally to inquiries or urgent situations, provide information about DSPS services and procedures, and ensure accurate documentation and communication of concerns or issues.
- Document and report testing irregularities, student or faculty concerns, or accommodation-related issues to the assigned administrator in a timely and accurate manner.
- Perform a variety of clerical duties to support efficient office operations, including data entry, record maintenance, copying, filing, and coordination of information flow.
- Proactively manage departmental mailboxes, group email and chat, to ensure timely, accurate processing of testing-related correspondence; respond directly within the group email when appropriate, or forward messages to the assigned administrator.
- Maintain clear, consistent, and proactive communication with the assigned administrator and all relevant DSPS staff to ensure alignment, prevent duplication, and support efficient, coordinated program operations.
- Assist in organizing, linking, and maintaining departmental records, correspondence, and tracking documents within student files in the DSPS management system; ensure accuracy, completeness, confidentiality, and quality control of documentation; and identify errors or inconsistencies requiring correction.
- Monitor and assure adequate levels of test center and office supplies; maintain and replenish paper trays, request and track orders for paper, toner, staples, envelopes, labels, paper clips, and other testing materials as directed.
