Job SummaryUnder the general direction of the Business Officer, serves as a key member of the NCEAS administrative team by providing front desk operations, administrative support, meeting coordination, and travel and financial administration for Center activities.
Responsibilities- 40% Front Desk Operations and Facility Coordination:
Provides professional customer service to visitors, residents, staff, and vendors; manages incoming calls and correspondence; coordinates facility-related requests; serves as liaison between residents, staff, and service providers; and supports day‑to‑day operations of NCEAS. - 30% NCEAS Working Group Meetings:
Coordinates event logistics, schedules resources, drafts invitations, obtains agendas, and facilitates meeting setup; manages travel, accommodation, and financial arrangements; and serves as the primary contact for troubleshooting and resolving issues. - 30% Travel and Financial Administration:
Coordinates visitor, resident, and Working Group travel and reimbursement activities; ensures compliance with university, sponsor, and funding agency policies; handles visa documentation, stipends, and expense reports; and processes reimbursements and invoices.
- High School Diploma or equivalent
- 1-3 years experience in an administrative, clerical, or operations role
- Good verbal and written communication skills, active listening, critical thinking, multitasking, and time management skills
- Strong customer service orientation
- Thorough knowledge of administrative procedures and processes including word processing, spreadsheet and database applications
- NCEAS is located off‑campus in downtown Santa Barbara
- Satisfactory criminal history background check required
- UCSB is a Tobacco‑Free environment
