Role Description The Executive Assistant is a full-time, on-site role based in the Santa Barbara–Santa Maria Area. This position supports senior leadership through calendar management, meeting coordination, and preparation of correspondence, reports, and presentations. Daily responsibilities include managing phone and email communications, organizing files and records, and maintaining confidential information with discretion. The Executive Assistant also assists with scheduling resident- and staff-related meetings, coordinating travel and events, and ensuring smooth office operations.
Collaboration with department leaders, vendors, and external partners is expected to support community initiatives and administrative projects.
Qualifications
- Strong administrative and organizational skills, including calendar management, scheduling, and document preparation.
- Proficiency with office software and tools such as word processing, spreadsheets, presentations, email, and digital filing systems.
- Clear written and verbal communication skills, with the ability to draft professional correspondence and interact with diverse stakeholders.
- Attention to detail and accuracy in handling documentation, data entry, and record keeping.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing needs in a fast-paced environment.
- Demonstrated discretion in handling confidential information and sensitive resident or staff matters.
- Customer service mindset and interpersonal skills to work effectively with residents, families, staff, and leadership.
- Prior experience as an executive assistant, administrative assistant, or similar role; experience in senior living or healthcare is a plus.
- High school diploma or equivalent required; additional coursework or degree in business, administration, or a related field is beneficial.
