Materials Project Coordinator

Job Summary

The primary function of this role is to manage material procurement, inventory control, and material project management coordination. The ideal candidate will be responsible for purchasing materials, tools, equipment, and other supplies while ensuring pricing control and assessment. This position is based out of our Simi Valley office and reports to the Production Manager.

Key Responsibilities
  • Material, Tool and Equipment Procurement:
  • Source and purchase materials, tools, and equipment required for projects.
  • Contact suppliers and make order decisions based on price, quality, and delivery speed.
  • Identify and evaluate potential suppliers for materials, tools, and equipment.
  • Place orders and ensure timely delivery to meet project schedules.
  • Project Management, Documentation and Reporting:
  • Oversee and manage all inventory-related tasks using Asana, ensuring materials and job components are tracked and updated in real time.
  • Coordinate with Project Coordinators and field teams to track pre-production status and material readiness.
  • Create, submit, and follow up on purchase orders (POs) in Quick Books, ensuring accurate cost coding.
  • Track delivery timelines and communicate delays or issues to the appropriate internal teams.
  • Collaborate with vendors and suppliers to ensure material availability aligns with project schedules.
  • Regularly audit Asana tasks and Quick Books entries to ensure data integrity and process compliance.
  • Assist in developing and maintaining material standards, approved vendor lists, and pricing databases.
  • Inventory Control:
  • Monitor inventory levels to anticipate material needs and initiate reorders or transfers as necessary
  • Conduct regular inventory audits and reconcile discrepancies.
  • Implement inventory management strategies to minimize waste and reduce costs.
  • Fleet Management Assistance:
  • Assist in the coordination and management of the company's fleet of vehicles.
  • Schedule and track vehicle maintenance and repairs.
Qualifications
  • Proven experience in project management, procurement, and inventory control.
  • Strong negotiation and communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Knowledge of project management software and inventory management systems is a plus.
  • Excellent organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Strong analytical and problem-solving abilities.
Physical Requirements
  • Ability to lift and carry materials up to 25 lbs. and equipment as needed.
  • Comfortable working in both office and yard environments.
Competitive Pay

$50,000 - $55,000 per Year
