Department OverviewThe UCSB Department of Communication is internationally known for its research and instruction in communication processes and effects. Job Duties
The Student Affairs Manager provides the full range of student services to current and prospective undergraduate and graduate students in the Department of Communication. The role involves advising, program administration, recruitment, faculty coordination, and student support, ensuring that departmental and University policies are followed and that deadlines and campus policies are met.
Job Functions and Percentages of Time- 35% Undergraduate Program Administration: Oversees all undergraduate program administrative duties for approximately 2,000 undergraduate students, supervises student affairs staff, manages advising, maintains records, prepares schedules, and coordinates course evaluations and summer sessions.
- 30% Graduate Program Coordinator: Manages graduate student services for the MA/PhD and PhD‑only program, provides advising, coordinates evaluations, promotes student success, oversees block grant funding, and handles employment documentation and international student matters.
- 15% Academic Student Appointments: Works with faculty and administrators to assign teaching assistants and associates, process employment paperwork, track tuition remission, advise on compliance issues, and provide liaison services to campus agencies.
- 10% Graduate Admissions/Recruitment: Coordinates the admissions process, processes applications, maintains statistics, represents the department at recruitment events, and develops strategies to increase enrollment.
- 10% Development, Outreach, and Publications: Oversees orientation, participates in committees, manages social media, coordinates events, maintains email lists, and ensures accurate catalog and brochure information.
- Bachelor's Degree
- 1–3 years experience in academic advising and/or student support services in a higher education program, college, or school
- Strong organizational skills and ability to handle multiple tasks under deadline pressure
- Excellent communication and interpersonal skills, assertiveness and diplomacy, and critical attention to detail
- Ability to exercise good judgment, common sense, and discretion with careful attention to detail
- Ability to prioritize multiple tasks with minimal supervision; set boundaries and adhere to them
- Ability to creatively problem‑solve and remain calm under pressure
- Ability to work effectively and cooperatively as a staff team member, as well as with faculty members
- Proficiency with Microsoft Office Suite & Google Workspace
- 1–3 years experience with graduate students
- Administrative and/or financial management experience
- Knowledge of department/school/college policies, procedures, and requirements
