Jr Project Coordinator

The Jr Project Coordinator will provide essential support for facilities‑related initiatives including MAC (Moves, Adds, Changes) work orders, furniture installations, small project execution, and vendor coordination. This role ensures operational continuity and supports project delivery through effective documentation, procurement, communication, and provides administrative support to our Project Managers when needed.
Part time engagement to start, can mature into full time schedule. Position requires on‑site presence at Impec’s office and at client’s sites. Flexibility is essential.
Responsibilities Project & Facilities Coordination- Manage and track MAC work orders, ensuring timely execution.
- Coordinate furniture installations and small project work across multiple sites.
- Support site PMs with scheduling, logistics, and documentation, such as meeting minutes and schedules.
- Issue and track purchase orders (POs) for project‑related goods and services.
- Liaise with vendors to ensure timely delivery, quality compliance, and scope alignment.
- Maintain vendor records and assist in onboarding new suppliers as needed.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Maintain project documentation with up‑to‑date status – schedules, budget trackers, meeting minutes.
- Assist with budget tracking and invoice reconciliation.
- Support continuous improvement by documenting workflows and identifying inefficiencies.
- Ensure adherence to internal design standards.
- 2+ years of experience in commercial project coordination, facilities management, or procurement.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite and project tracking tools (e.g., MS Project, Bluebeam, SAP, Ariba).
- Experience with vendor management and PO processing.
- Ability to work independently and collaboratively in a fast‑paced environment.
- Ability to manage multiple work streams with competing priorities.
- Experience supporting MAC work, furniture installs, and small‑scale construction or fit up.
