JOB TITLE: Business Operations Analyst

DURATION: 12 months
PAY RANGE: $50 - $55/hr.

Job Description:This is an execution-focused role ideal for someone who enjoys creating order out of chaos, is comfortable with numbers and data, and picks up new software quickly. While you will be working within the Legal team, you do not need a law degree or prior legal experience to succeed here. This is a fantastic opportunity for a professional with a background in administration, data entry, or operations to gain specialized experience in the growing field of Legal Operations.
Key Responsibilities:- Manage the full lifecycle of legal matters, including creation, configuration, coding (practice area, internal lead, financial codes), and timely closure of inactive files.
- Review and process proposed external timekeeper rates and fee arrangements against historical data and established department guidelines.
- Control the intake and routing of legal invoices, ensuring compliance with billing guidelines (e.g., proper expenses, authorized personnel) before distribution for internal attorney review.
- Maintain and update matter‑level budgets, and proactively manage the collection and entry of monthly financial accruals from external partners to meet finance deadlines.
- Coordinate manual or automated updates to ensure key data fields (e.g., financial codes, matter profiles) are consistent across all critical legal and intellectual property management systems.
- Periodically audit matter lists between systems to identify and resolve discrepancies, preventing financial activity against outdated or terminated matters.
- Tech‑Savvy:
You don't need to know our specific software, but you must be comfortable navigating web‑based platforms, learning new tools quickly, and troubleshooting basic issues. - Data Entry Precision:
You have a track record of handling data with high accuracy. You are the type of person who spots a typo that everyone else missed. - Process‑Oriented:
You can follow a workflow step‑by‑step and are comfortable working within established guidelines. - Strong Communication:
You can write clear, professional emails to external partners and internal team members. - Organizational
Skills:
You can manage multiple small tasks (like tracking 10 different vendor emails) without letting things slip through the cracks.
- Experience in an administrative, data entry, or coordinator role.
- Previous exposure to corporate finance concepts (invoices, budgets, purchase orders).
- Familiarity with database software or CRM tools (e.g., Salesforce, Jira, or any Data Management platforms).
- Experience working in a confidential environment (HR, Finance, Healthcare, or Legal).
- Proficiency with Microsoft Excel or Google Sheets (sorting, filtering, basic formulas).
- Interest in Legal, Finance, or Operations.

Individual compensation is determined by skills, qualifications, experience, and location. Compensation details listed in this posting reflect the base hourly rate or annual salary only, unless otherwise stated.
