Position Purpose

Reporting to the Senior Associate Director of Graduate Business MS Admissions, this position will support recruitment through application processing and review process for the Graduate Business Programs (GBP) team within the Leavey School of Business at Santa Clara University (SCU). This part‑time position is responsible for application processing including collecting materials, applicant outreach, email and phone calls. The Application Support Administrator will manage applications in progress, encourage prospective student applications, and offer support and guidance through the application process.

Essential Duties and Responsibilities Application Processing
  • Work with the admissions team including the Senior Director, Sr Associate Directors and Assistant Directors in Graduate Business Admissions.
  • Support application processing, ensuring applications are completed in a timely manner.
  • Maintain close communication with the graduate admissions team on admissions needs.
  • Use email, phone calls, and Slate messaging to communicate with applicants regarding application materials and requirements.
  • Ensure smooth transition of students from admissions through to academic support.
  • Answer questions regarding all Graduate Programs and the application process.
  • Assist with planning and executing recruiting events.
  • Support the Student Ambassador Program.
Admissions Operations
  • Work within Slate to manage applications.
  • Use Slate, Live Whale and Excel for event publishing and tracking.
  • Load event attendees into Slate CRM
  • Pre‑event support including name tags, folders, and check lists
GENERAL GUIDELINES
  • Recommends initiatives and implements changes to improve quality and services.
  • Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
  • Maintains contact with prospective students and answers questions.
  • Maximizes productivity through use of appropriate tools (Slate, Excel, G Suite); planned training and performance initiatives.
  • Ensures completeness, accuracy and timeliness of all operational functions and deliverables.
  • Prepares and submits reports and status updates as requested and required.
Provides Work Direction
  • Provides no work direction to other employees.

Education and/or Experience
  • Bachelor's preferred
  • MS Office, PowerPoint, experience with web-based meeting software and online learning delivery, and Slate preferred.
  • Academic advising, recruitment experience, preferably in business or technology highly desired, admissions experience a plus.
