Executive Assistant
As a result of the company's continuing growth, we have an opportunity for a knowledgeable and proactive Executive Assistant in Santa Clara, CA. This position will be responsible for providing high level administrative support directly to Lab/project team. The EA will be expected to handle multiple high-priority projects and assignments simultaneously and work efficiently in order to meet aggressive deadlines.
Primary Responsibilities:
- Provide strong administrative support to the Lab/Project Team.
- Organize functions, events and meetings.
- Support Lab with Procurement and Payment related events.
- Generate and track paperwork that are submitted to the management team for approval.
- Manage business trips including travel visa applications and keep track of vacation status, maintain group personnel records, generate monthly reports.
- Support Lab/team with their budget planning and team building events.
- Support Lab/team with special project if assigned.
- Handle and maintain highly confidential and sensitive information.
- Assist in arranging interview schedules for candidates within the Lab.
Position Requirements:
- Carry outstanding interpersonal, communication, influencing and organization skills in order to provide the highest level of service to the Business Units.
- Demonstrate ability in handling highly confidential or sensitive, or proprietary information including written correspondence.
- Bring a history of managing multiple high-priority projects and assignments simultaneously and work efficiently in order to meet aggressive deadlines.
- Show an excellent attention to detail with strong organization and planning skills.
Position
Qualifications:
- Associate Degree is required, Bachelors in Business Management or Organizational Leadership preferred.
- 2-5years' experience in administrative support is desired.
- Bilingual is required– fluent in English and Chinese (Mandarin).
- Proficient in Microsoft Office:
Excel, Word, Power Point, Outlook. - Strong knowledge in accounting related to expense management.
- Energetic, team player, able to multi-task, organized and detail-oriented, flexible, and able to adapt multi culture work environment.
