Job Overview

We are seeking a dynamic and motivated Leasing Consultant to join our team! Valley Village is a non‑profit, senior apartment community for our 55+ community. Our community offers independent living with services such as a Dining program, Van transportation, and Medical services.

In this energetic role, you will be the friendly face and expert resource for prospective residents, guiding them through the leasing process with enthusiasm and professionalism. Your primary goal is to create a positive first impression, showcase our properties’ best features, and secure lease agreements that benefit both residents and the community. This position offers an exciting opportunity to utilize your sales skills, property management knowledge, and customer service expertise to make a real difference in residents’ lives.

Under general supervision, provides administrative support for the Executive Director, Leasing Manager, and Director of Administration & HR. Prepares letters of correspondence, types various documents, utilizes Word and Excel programs, updates computer files and screens incoming calls. Tour apartments, process applications, and assist with daily functions of the Business Office.

Responsibilities
  • 1. Answer telephone and Internet inquiries providing information in response to rental inquiries. Make follow‑up calls and e‑mail responses as necessary. Obtain accurate traffic source information and enter it correctly into App Folio.
  • 2. General clerical duties, including but not limited to: typing weekly, monthly and/or special notices (i.e. agendas, minutes for the Board of Director meetings, the “Voice”, flyers) and filing.
  • 3. Maintain and update the following: prospective tenant waiting list, meal contract number assignments and changes, prospective tenant, family and friends address database, update resident (Valley Village) phone list.
  • 4. Qualify applicants, determine eligibility for tenancy, in compliance with Fair Housing Laws and Tenant Selection Criteria. Explain to the client in detail the application procedures and lease contract. Take applications for rental, accept rental deposits, and process applications for approval. Process resident transfers.
  • 5. Schedule apartments for tours as needed. Tour apartments with clients; discuss all benefits of the apartment community and each apartment shown.
  • 6. Coordinate move‑in and move‑outs, notifying appropriate departments regarding vacancies. Inform residents about move‑out guidelines and timely notice to Housing Authority (HA) for HA recipients.
  • 7. Prepare leases, enter leasing information, receive deposit and rent money, record appropriately. Assist the business office in collection of delinquent rents as needed.
  • 8. Create and submit advertisements to various sources. Organize and attend community outreach events to maintain and build relationships within the Senior Services Community.
  • 9. Provide back‑up duties for Community Support Representative, Leasing Manager, and Director of Administration & HR (rent receipting, picking up/delivery of copying projects and bank deposits).
  • 10. Take maintenance service requests and submit through App Folio.
  • 11. Comply with State and Federal Fair Housing laws as well as company policies and procedures.
  • 12. Other duties as assigned by the Executive Director, Director of Administration & HR, and Leasing Manager.
Qualifications
  • 1. Able to relate to an aging population, maintain a respectful and professional demeanor at all times, particularly when providing customer service. Demonstrate compassion and patience dealing with residents, prospective residents and the public. Maintain confidentiality with regard to department operations and sensitive information about residents (active/prospective/inactive). Able to represent Valley Village in a positive and professional manner.
  • 2. One to two years of experience in clerical/administrative related positions. Prior property management experience a plus.
  • 3. Preferred knowledge of Fair Housing Laws.
  • 4. Knowledge of telephone and sales techniques.
  • 5. Detail oriented, able to collect and reconcile cash monies.
  • 6. Able to communicate effectively, both verbally and in writing. Assistive devices acceptable. Able to read, write, understand English, follow directions and meet project deadlines.
  • 7. Able to create, edit and update correspondence and reports. Ability to use Microsoft Office, Excel, Google Workspace and learn App Folio and eMenuChoice.
  • 8. Must be able to tour community with clients, to include walking the 8 ½ acre community and climbing stairs 2 to 3 flights when necessary.
  • 9. Attend California Apartment Association of California training courses within the 1st year of employment.
