SummaryThe Estimating Coordinator is responsible for administrative support to the Estimating Department. As required, this position is focused on the bid process life cycle from the initial inquiry, tracking and managing progress, and presenting final bids to customers.
Position Responsibilities- Bid Process Support
- Compile and maintain bid schedule.
- Download and review bid packages, bid documents, and front-end materials.
- Understand required bid forms submission and ensure compliance.
- Request bid bonds as needed.
- Organize plans, specifications, and addenda for the estimator’s reference.
- Prepare bid folders and call sheets.
- Reach out to subcontractors and wholesalers based on project criteria.
- Create and broadcast requests for bids (RFB).
- Follow up with subcontractors and vendors to encourage participation.
- Regularly check for addenda updates.
- Assist with sealed envelope preparation for bid submission.
- Compile and maintain bid results.
- Subcontractor/Vendor Interaction
- Maintain positive relationships with subcontractors and vendors.
- Collect Letters of Intent or other required forms from certified small or disadvantaged businesses to meet required percentage goals.
- Project Coordination
- Attend meet-and-greet sessions with subcontractors and general contractors.
- Help solicit subcontractors and prequalify them.
- Participate in developing project updates and bid package estimates.
- Keep the electronic plan room organized and updated for subcontractor and vendor review.
- Assist in delivering bid packages to owners or clients when necessary.
- Maintain subcontractor and vendor files and notify them of bidding opportunities.
- Ensure timely quotes from subcontractors and vendors by bid day.
- Documentation and Reporting
- Compile and maintain Bid files to assist the estimating staff.
- Compile and maintain Prequalification packages with general contractors, private owners, and public agencies as required.
- Compile and maintain account information for general contractor, private owner, and public agency website access.
- Compile received subcontractor bids and vendor quotes and maintain project files.
- Assist in preparing turnover packages.
- Generate Bid Forms for submission to owners or clients.

Salary Range: $25 - $30 per hour.

- General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning.
