Position Overview

Montech Inc. is seeking qualified Administrative Assistants to provide comprehensive administrative and clerical services in support of the U.S. Department of Health and Human Services in Santa Fe, NM. This role supports daily operations across multiple departments. The ideal candidate is professional, organized, detail-oriented, and experienced working in fast‑paced, highly regulated environments such as healthcare or government facilities. The Administrative Assistant plays a critical role in ensuring smooth office operations while delivering courteous, patient‑focused service to staff, patients, and visitors.

Rotation to satellite IHS clinics may be required.

Key Responsibilities

The Administrative Assistant will assist in office administration with direct and indirect patient and administrative duties for several departments. Duties to include:

  • Receive, process, and distribute incoming and outgoing correspondence, reports, and official documents.
  • Prepare, format, and proofread correspondence, reports, forms, and other administrative materials.
  • Maintain calendars, schedule appointments, coordinate meetings, and prepare meeting minutes.
  • Answer phones, greet visitors, respond to general inquiries, and route requests appropriately.
  • Perform data entry, database updates, filing, and records management.
  • Assist with purchasing supplies, travel requests, and administrative tracking activities.
  • Support onboarding and orientation of new staff and contractors.
  • Perform timekeeping and administrative tracking functions as assigned.
  • Handle sensitive information in compliance with HIPAA, Privacy Act, and clinic policies.
  • Support a multicultural patient population with professionalism and discretion.
  • Perform additional administrative duties as assigned to support clinic operations
Required Qualifications
  • High School Diploma or GED (required).
  • Must possess a valid state driver's license.
  • Proficiency in Microsoft Word, Excel, and Teams.
  • Strong typing, document preparation, and file management skills.
  • Basic financial literacy and administrative support experience.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Professional demeanor and customer service mindset.
  • Event coordination and logistics management.
  • Ability to work effectively in a healthcare or government environment.
  • Must meet all IHS health, immunization, and training requirements.
  • Must comply with confidentiality, HIPAA, and information security standards.
Preferred Experience
  • Prior experience in administrative support roles within healthcare, government, or similarly regulated environments.
  • Experience supporting executives, clinical staff, or administrative leadership.

  • Familiarity with IHS information technology systems such as Electronic Health Records (EHR) or Resource and Patient Management System (RPMS).
  • Familiarity with scheduling systems, timekeeping systems, and office automation tools.
Security

Employment is contingent upon the ability to pass a pre-employment drug test and a federal security investigation (background check) in order to obtain a U.S. Department of Health and Human Services Public Trust clearance prior to start date. The background investigation reviews employment, criminal, financial, and personal history to ensure there are no outstanding violations. Applicants must be a U.S. Citizen to work in support of a federal agency.
