Primary Purpose

Works under the general supervision of the Records Supervisor. Acts as the lead worker in the absence of Records Supervisor. Performs all clerk functions unassisted and provides direction and support to Records Clerks. Types a variety of correspondence, forms, reports, etc. requiring a high degree of accuracy.

Essential Job Functions

Performs a variety of administrative tasks, including information collection, statistical computation, and verification and maintenance of official departmental records. In the absence of the Records Supervisor, the Lead Records Clerk will assume supervisory responsibilities. Assigns and delegates tasks and reports to Records Clerks. Manages, approves, and ensures quality of reports; communicates with and provides information to public, attorneys, and outside agencies as requested.

Prepares, edits, and reviews correspondence, reports, invoices, and other documents from copy, rough draft, dictation machine, or instructions; compiles readily accessible data; performs background checks and responds to discovery requests as needed. Manages grant-funded officer operations, processes timesheets, and ensures appropriate payment. Receives and distributes incoming mail and prepares outgoing mail; answers phones and takes messages.

Knowledge / Skills

Knowledge of spelling, punctuation, grammar, office methods, and records management. Skill in supervising, leading, and delegating work. Ability to type accurately from plain copy at a minimum of 50 words per minute; and to understand and carry out verbal and written instructions. Ability to operate various word-processing, spreadsheet, presentation, and database software programs, as well as copiers, scanners, and calculators. Ability to prepare accurate, complete and legible reports.

Ability to communicate effectively, both verbally and in writing. Ability to handle multiple projects and meet deadlines; to establish and maintain working relationships with associates, other agency units, and the public. Ability to plan and organize work; to handle confidential matters; and to handle stressful situations in a courteous and helpful manner.

Minimum Qualifications

High school diploma or equivalent plus two (2) years of Records Clerk experience. (Experience not required to be exclusive to within the Sheriff's Office.) Must obtain and maintain Notary and Defensive Driving certifications within three (3) months of hire.

Working Conditions:

Work is performed generally in an office environment with exposure to dust, fumes, airborne particles and/or allergens. Work occasionally involves high risk or potentially dangerous situations, excessive noise, and hostile individuals. While performing the duties of this job, the employee regularly is required to stand and sit; use hands to finger, handle or feel; reach with hands or arms; and talk or hear.

Ability to lift up to 50 lbs. Clarity of vision at short distance is required. Evening, holiday, and weekend work may be required. Occasional overnight travel is required. Conditions of Employment:
Selected candidate must submit to and pass a County paid pre-employment physical and drug/alcohol screening. Additionally, selected candidate must submit to and pass a county paid criminal background screening. Selected candidate must possess and maintain a valid New Mexico Class D Driver's License as incumbent shall be appointed to drive a County vehicle during the performance of his/her duties. Candidate must obtain and/or maintain all certifications required.
