Executive Support Specialist

Santa Fe, NM, US

  • Pay Rate: $22.00 per hour
  • Assignment Duration:
    July 14, 2026 – June 30, 2027
  • Schedule: 40 hours per week – Monday – Friday; 8:00am – 5:00pm

Position Summary

The Executive Support Specialist provides direct administrative support to the Chief Executive Assistant and serves as backup support for the Superintendent and Deputy Superintendent when the Chief Executive Assistant is out of the office. This position performs a broad range of administrative, organizational, and operational duties that support the Office of the Superintendent (OSI). The role requires strong organizational skills, proficiency in Microsoft Office applications, and the ability to work effectively in an open-minded environment.

Key Responsibilities

  • Provide daily administrative support to the Chief Executive Assistant.
  • Serve as backup coverage for the Chief Executive Assistant, including responsibilities related to supporting the Superintendent and Deputy Superintendent.
  • Prepare, print, and organize meeting agendas and supporting documents.
  • Set up and manage Microsoft Teams meetings, including conference room technology setup.
  • Perform general office tasks such as printing, scanning, copying, filing, faxing, and sorting mail.
  • Respond promptly and accurately to email and document requests.
  • Create, organize, and assemble binders, booklets, and other printed or digital material packets.
  • Assist with OSI Legislative Session support, including coverage responsibilities as needed.
  • Assist with tracking and processing FIRs (Fiscal Impact Reports) during the legislative session, ensuring accurate monitoring and timely updates.
  • Maintain organized physical and electronic filing systems.
  • Provide support for special projects and any additional tasks assigned by the Chief Executive Assistant or OSI leadership.

Required Skills & Qualifications

  • High school diploma or equivalent.
  • Proficiency in Microsoft Outlook and Microsoft Office products, including Word, Excel, PowerPoint, and One Note.
  • Strong organizational skills with the ability to prepare binders, booklets, and other structured material packets.
  • Ability to work in an open office environment (no enclosed office).
  • Excellent attention to detail, time management, and ability to multitask.
  • Strong communication and customer service skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Open office setting with frequent interaction with staff, leadership, and the public.
  • Fast‑paced environment requiring flexibility and responsiveness.
