Why does the job exist?

The Senior Office Support Clerk / Information Clerk will:

  • Assist the training team with the high demands of monitoring, maintaining, testing and updating the Caregivers Criminal History Screening Program (CCHSP) 2.0 portal to ensure information in the system is accurate and up to date;
  • Provide customer service to applicants, healthcare providers and system users;
  • Contact healthcare providers/facilities to notify them of incomplete screening applicants and to obtain missing information;
  • Respond to a high volume of phone calls and assist with system issues and questions and/or direct the caller to the appropriate staff member for assistance.
How does it get done?

The Senior Office Support Clerk / Information Clerk is responsible for:

  • Providing administrative support to the training team, enhancing office effectiveness;
  • Communicating with applicants to discuss background checks;
  • Administratively supporting provider and applicant trainings;
  • Uploading documents and materials submitted by providers/users and/or assist care providers with all applications needs;
  • Organizing and communicating all correspondence for care provider and applicants;
  • Contacting healthcare providers/facilities and applicants to notify them of incomplete screening applications and to obtain missing information.
Who are the customers?
  • Caregivers Criminal History Screening Program (CCHSP) 2.0 system users.
Ideal Candidate

The Ideal Candidate has:

  • Previous experience in an office setting;
  • Experience with Microsoft Suite.

High School diploma or equivalent and one (1) year of experience in office administration, customer service, records management technique and procedures, basic accounting, and/or business administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling one year (1) year may substitute for the required experience.

Employment Requirements

Must possess and maintain a valid driver's license.

Must obtain a Defensive Driving Certificate.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Voluntarily carry Department issued cell phone for official use without compensation. Subject to recall during disasters and other emergencies. Work on weekends, holidays and shift work may be required during emergency and/or disaster situations.

Bargaining Unit Position

This position is not covered by a collective bargaining agreement.
