why does the job exist?

the office support clerk provides administrative and operational support to ensure the efficient daily functioning of the office. This position performs a variety of clerical, mailroom, purchasing, payment, scheduling, and customer service duties while maintaining accurate records and supporting departmental staff.

how does it get done?
  • perform daily mailroom operations, including picking up, sorting, distributing, and delivering incoming and outgoing mail. Operate mail processing and postage equipment to ensure timely and accurate mailing of correspondence and packages. Ensure all outgoing mail is processed and dispatched in accordance with established deadlines.
  • maintain calendars and schedules, coordinate meetings, interviews, and conference room reservations.
  • prepare reports, spreadsheets, correspondence, memoranda, and other administrative documents.
  • prepare purchase documents and assist with procurement activities in accordance with new mexico procurement laws, the department of finance model accounting practices, and agencies policies.
  • perform data entry and maintain accurate databases spreadsheets logs and filing systems.
  • make photocopies, assemble packets, stuffed envelopes, and prepare materials for distribution.
  • issue identification badges for new employees and assist with onboarding activities including the issuance of office equipment, supplies, and other resources.
  • arrange employee travel, prepare travel authorizations, process reimbursement requests, and maintain travel records.
  • provide general clerical and administrative support to management and staff.
who are the customers?

the office support clerk provides office and administrative support to the administrative services division director, deputy directors, and administrative services division staff. The office support clerk will have regular interaction with staff from other agencies including oversight agencies, divisions, and the general public.

ideal candidate

knowledge of general office procedures and administrative practices.

  • proficiency in microsoft office applications including word, excel, outlook and teams.
  • ability to prepare reports, spreadsheets, and business correspondence accurately.
  • strong organizational and time management skills with the ability to prioritize multiple assignments.
  • ability to maintain accurate records and perform data entry with a high degree of accuracy.
  • effective verbal and written communication skills.
  • ability to maintain confidentiality and exercise sound judgment.
  • ability to work independently and as part of a team in a fast-paced environment.

no prior experience or training required.

employment requirements

must possess and maintain a valid driver's license. Must possess and maintain a current defensive driving course certificate from the state of new mexico or must pass and receive defensive driving course certification as a condition of continued employment. Pre-employment background investigation is required and is conditional pending results.

working conditions

work is performed in an office setting with exposure to visual/video display terminal (vdt) and extensive personal computer and phone usage. Some sitting, standing, bending, and reaching may be required. Direct client interaction and some travel may be required.

bargaining unit position

this position is covered by a collective bargaining agreement and all terms/conditions of that agreement apply and must be adhered to.
