Position SummaryReporting to the Finance Manager, the Finance Associate handles routine financial transactions to support the accuracy and efficiency of NMF’s operations. This role focuses on processing accounts payable, receivables, and basic general ledger entries, including those for day‑to‑day internal operations, grantmaking from various funds, and transactions for fiscal sponsor organizations, with a high level of attention to detail and timeliness. The Finance Associate ensures proper coding in Sage Intacct across funds, donor‑advised accounts, and fiscally sponsored projects under supervision.
This position works in close collaboration with the Finance Manager.
This position emphasizes productivity, organization, and collaboration, providing an opportunity for a detail‑oriented individual to grow in a nonprofit finance setting while supporting the organization's broader goals.
- Collect and verify W‑9s and maintain vendor records.
- Code and process invoices, credit card transactions, and recurring payments in Sage Intacct.
- Assist in obtaining approvals and preparing check runs or EFT uploads.
- Organize payment records in line with document retention policies.
- Process incoming contributions and receivables; prepare and post daily deposits.
- Create and reconcile deposit batches in Sage Intacct.
- Collaborate with staff and partners to ensure proper fund allocation.
- Manage physical deposits and ensure compliance.
- Respond to basic inquiries from partners and vendors.
- Support the Finance Manager in internal coordination and process tasks.
- Participate in team meetings and contribute to minor process improvements.
- Participate in identifying and documenting process improvements.
- Minimum of 1 year in accounting, finance, or related administrative roles (nonprofit experience a plus).
- Basic experience with AP/AR and transactional processing required.
- Familiarity with Sage Intacct accounting software is preferred.
- An associate’s degree in accounting, finance, business administration, or a related field is preferred.
- Equivalent work experience may be considered in lieu of formal education.
- Proficiency in Microsoft Excel; familiarity with Sage Intacct or similar software is a plus.
- Basic understanding of financial tracking and attention to detail.
- Strong organizational and time management skills.
- Clear communication and ability to handle large datasets.
- Willingness to learn and work under supervision.
- Ability to work independently and manage multiple priorities.
