The Administrative Services Division (ASD) provides the financial, accounting, budget and federal reimbursement tools to support the mission of the department.
Why does the job exist?The purpose of the position is to provide quality, efficient and timely oversight of all department federal and partner grants and funding, including managing department reimbursement processes. The position provides effective supervision of the Federal Grants Section staff and provides leadership in the development of new federal and non-federal grant opportunities.
How does it get done?The primary function of the position is to manage all aspects of the external funding opportunities for the Department by leading the Federal Grants Section. Responsibilities include, but are not limited to, monitoring and updating Department procedures related to funding opportunities and compliance with all funding requirements; providing leadership and guidance in the development of new federal and non-federal grant opportunities through effective communication with Department project leaders;
processing grant proposals and amendments while ensuring compliance with pertinent state and federal rules and regulations; providing oversight in the auditing, reconciliation, and reporting of grant compliance, expenditure and accounting entries, including the Schedule of Expenditures of Federal Awards (SEFA); preparing and submitting monthly and final reimbursements; and preparing the necessary documents for the Department's annual single audit.

Ideal CandidateThe Ideal Candidate has experience with grant management and federal grant reporting.
Experience using the state's accounting system (SHARE).
Knowledge and application of the Code of Federal Regulations, GAAP and MAP's.
Analysis and reporting of financial data, pivot tables and formulas.
Bachelor's degree and seven (7) years of relevant experience as it relates to the essential duties of the position. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling eleven (11) years may substitute for the required education and experience.
Employment RequirementsPre-employment background investigation is required and is conditional pending results. Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.
Working ConditionsOffice setting, exposure to Visual/Video Display terminal (VDT) with extensive computer and telephone usage and extended periods of sitting. Must be able to lift 25lbs.
Bargaining Unit PositionThis position is not covered by a collective bargaining agreement.
