Signs of Success is seeking an Installation Coordinator to manage daily install logistics, contractor communication, site readiness checks, install packet follow-up, and post-install resets.

You will work with site superintendents, PM/designers, production, vendors, and installers to make sure field crews arrive on site with accurate instructions, ready materials, proper equipment, and a clear plan.

This is not a quiet back-office role. You will need to make calls, ask detailed questions, follow up repeatedly, and keep pushing until the install status is clear. You do not need to know signage on day one, but you do need to be organized, persistent, and comfortable working around direct people.

Primary Responsibilities
  • Site & Contractor Verification: Call contractors and superintendents ahead of scheduled installs to confirm site readiness, access, surfaces, phasing, site hours, storage, turnover timing, and any conditions that could affect installation. Do not just ask, “When do you want us there?” Your job is to understand whether the site is actually ready.
  • Install Packet Auditing: Review upcoming install packets for drawings, permits, hardware, contact information, access notes, site instructions, and missing or unclear details. Follow up with PMs when packets are late, incomplete, or unclear.
  • Production & Material Readiness: Check with production, buyouts, and hardware/materials to confirm what is ready, what is missing, and whether the install date is realistic.
  • Daily Crew Launch & Logistics: Help installers leave prepared with packets, materials, hardware, site contacts, and clear instructions. Coordinate lifts, equipment rentals, hotels, and travel as needed.
  • Mobilization Awareness: Track how many mobilizations are included, what work belongs on each trip, and what equipment is needed. Look for opportunities to reduce cost.
  • Post-Install Reset: Debrief installers, collect photos, marked-up notes, unused hardware, and paper install packets. Document what was completed, what remains, where materials are stored, and what happens next.
  • Monday Calendar Review: Prepare for and participate in the Monday install calendar meeting by reviewing what was completed last week, what is planned this week, what is coming up, and what is needed from PMs, production, buyouts, or ownership.
This Role IS For You If:
  • You have experience in construction scheduling, trade dispatch, installation planning, subcontractor administration, project coordination, or another fast-paced coordination role.
  • You have strong follow-through and can manage many moving parts at once.
  • You are comfortable making phone calls and asking direct, detailed questions.
  • You can handle direct communication without taking it personally.
  • You are comfortable using the right communication method for the situation - phone, email, message, or in-person follow-up - until the answer is clear.
  • You can read basic plans, drawings, work orders, or technical notes, or are willing and able to learn.
This Role IS NOT For You If:
  • You avoid phone calls, uncomfortable follow-up, repeated reminders, or direct feedback.
  • You struggle to track details, competing priorities, or missing information.
  • You dislike checklist work, documentation, file arching, or daily logistics.
  • You are hesitant to hold installers, vendors, contractors, or internal team members accountable for needed information.
  • You need every task handed to you before taking action.
