Job Summary The Executive Assistant to the CEO plays a crucial role in ensuring our Santa Monica Office is a welcoming place for all of Hawke’s employees and clients. This role enables our teams to work efficiently as we scale the business to the next level, while serving as a primary voice in communication with the CEO’s network, prospects, clients, and industry leaders.

This role is unique and created for someone excited to learn every aspect of business operations at a digital marketing agency. You will also oversee the Santa Monica office in an office management capacity, ensuring smooth operations, managing office supplies, and supporting in-office employees.

Responsibilities:

Executive Support Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.

Prioritize and coordinate the CEO's daily, weekly, and monthly activities to ensure optimal time management.

Prepare, edit, and review correspondence, presentations, reports, and other documents.

Act as the primary point of contact with the CEO’s network, prospects, clients, sales executives, and industry leaders

Navigate platforms including Hub Spot, Gmail, Linked In, etc. on CEO’s behalf

Attend conferences and external sales meetings with the CEOAssist in organizing and coordinating sales events, promotions, and trade shows.

Work autonomously with little to no supervision

Schedule and organize office-related meetings, including preparing agendas, collecting materials, sending invitations, and coordinating follow-ups including distributing meeting minutes and tracking action items.

Support the team by assisting with duties such as meeting scheduling, expense tracking, and travel arrangements.

Office Management Collaborate with other departments to ensure smooth office operations

Assist and welcome new hires, clients, and guests and help to get acclimated with the office.

Greet office visitors and provide general administrative support to employees

Manage office supplies, equipment, records and files

Oversee office operations including, ensuring office sanitation, facilities and maintenance issues, and liaising with vendors and suppliers

Ad Hoc projects as necessary

Qualifications and Skills Previous experience as an Executive Assistant is a plus Bachelor's degree in business, marketing, or a related field is a plus.

Excellent organizational skills and attention to detail.

Excellent time management skills with a proven ability to meet deadlines.

Ability to work independently and as part of a team.

Proficient with Microsoft Office Suite or related software.
