The Shift Supervisor, Shelters is responsible for providing operational support and oversight at a shelter location during an assigned shift that may include day, swing, or graveyard. The Shift Supervisor, Shelters is an elevated shelter staff position that has demonstrated responsibility and mastered competency working with individuals and/or families experiencing homelessness. The Shift Supervisor knows and understands Catholic Charities’ policy, procedure, operational, and quality improvement processes.
The Shift Supervisor ensures that all interactions with participants are housing focused. The position facilitates safe operations of on-site communal programming and other day-to-day shelter activities. This position responds to participant requests, explains and facilitates shelter expectations, and shares information and referrals as appropriate for obtaining housing. The Shift Supervisor participates in agency and countywide data tracking efforts including data entry into Homeless Management Information System (HMIS).
Under the direction of a Site Supervisor, Shelters or Program Manager, the Shift Supervisor oversees special shelter projects and assigned work assignments. The Shift Supervisor supervises the work of Participant Advocates. This position may help register and screen incoming clients, complete required forms, and monitor communal health and safety. The Shift Supervisor, Shelters’ knowledge and understanding of relevant resources is housing focused, trauma informed, and oriented toward individual/family resilience.
Functions Leadership and Supervision
- Provide direct supervision, training, guidance, and support to the Participant Advocates of the emergency shelter.
- Work with Site Supervisor and/or Program Manager of shelter operations to prepare monthly work schedule for shelter staff and solve for open shifts that will impact operations.
- Support the Site Supervisor and/or Program Manager to ensure workers’ compensation protocols are followed with employees.
- Support the Site Supervisor and/or Program Manager with ensuring that staff members meet the agency’s minimum requirements for job evaluation, problem solving, and employee discipline.
- Provide coaching and accountability to a team of direct reports; hold regular coaching sessions – establishing goals and development pathways.
- Support the Program Manager and/or Site supervisor to ensure all direct reports complete training requirements in accordance with agency best practice standards and funding agreements.
- Ensure timesheets are completed accurately and submitted on time to payroll. Ensure timesheets match employee schedule and reflect actual hours worked.
- Ensure that data entry into all systems is accurate and up to agency standard, coaching participant advocates when needed around appropriate documentation.
- Mediate conflicts to seek resolution, using emergency and crisis trauma-informed interventions to defuse volatile situations.
- Assist employees in monitoring, de-escalating, and checking on participants when necessary.
- Confidently hold accountability conversations with residents when necessary.
- Lead in collaborating with external partners, support services, and community providers to promote the agency’s broader strategy of actively engaging and transitioning participants out of shelter and into housing.
- Monitor and document any significant participant changes in behavior. Address participant concerns and grievances appropriately.
- Work closely with staff to address any challenges concerning participants.
- Assist shelter participants in meeting all agency and program guidelines in alignment with Housing First and philosophy of care.
- Ensure the facility is operated and maintained in a safe manner.
- Lead by setting examples for employees on duty and taking initiative to ensure tasks and projects are being completed on time.
- Coordinate with facility maintenance teams and/or partners as necessary.
- Provide shift coverage and floor support when on duty.
- May provide assistance and answer staff questions in off duty hours, within reason.
