Position: Human Resource Payroll Associate I

HR Payroll Associate I

Reports to:

HR Manager or HR Payroll Manager

Status:
Hourly – Non-Exempt

Hourly Range: $20.86 – $28.22 (aligned with company's pay band structure)

Summary Description

The HR Payroll Associate I is responsible for supporting payroll processing and HR administration for clients. This role involves maintaining HR & payroll records, ensuring compliance with payroll laws, and providing excellent service to clients. The HRPA I will work with clients regarding day-to-day procedures, upholding our service standards.

Key Responsibilities Payroll Processing

Accurately process payrolls for multiple clients, ensuring compliance with wage and hour laws. Maintain employee payroll records and manage deductions, garnishments, accruals and direct deposits. Address payroll-related inquiries from clients, such as with holdings, rate changes, sick and vacation pay, transfers, terminations and delivery.

Client Support

Address payroll-related inquiries from clients, providing timely and accurate support. Assist with employee file maintenance in HR software, conduct I-9 audits, and compile HR Reports for clients. Assist clients with payroll tax filings and reporting. Maintain confidentiality of clients. May attend partnership calls or meetings.

Compliance & Auditing

Ensure payrolls comply with federal and state payroll regulations. Ensure proper use of balance sheets for payroll. Assist in payroll audits and compliance reporting, including W-2 corrections and tax reconciliations.

Team Collaboration

Collaborate with other departments when necessary to ensure smooth payroll procedures including Onboarding, GL Mapping and HR administration. Maintain stale dated checks and Pospay if applicable. Support the Payroll Manager and HRS Team with various tasks and projects as needed.

Training & Development

Develop knowledge of the HRS department as a whole for continuous learning. Master the administrative functions so that other areas can develop and lead to professional growth. Maintain client templates and SOPs.

Qualifications Education
  • Associate degree in Human Resources, Business Administration, Accounting or a related field required.
  • Working toward CPP (Certified Payroll Professional) certification or equivalent. HR certification a plus.
Experience
  • 1-3 years of payroll processing experience.

    Familiarity with payroll systems, tax filings, and payroll compliance.
Skills & Competencies
  • Strong attention to detail and accurate data entry skills
  • Ability to manage multiple client payroll tasks on time and prioritize effectively
  • Active listening, learning, critical thinking skills
  • Excellent written and verbal communication. Bilingual abilities are valued.
  • Excellent professional customer service skills
  • Knowledge of Federal, State and local payroll and employment laws
  • Knowledge of full-cycle payroll functions including preparation, balancing, auditing and taxes
  • Proficiency in Microsoft Word Suite. (e.g., Word, PowerPoint, Excel. TEAMs)
  • Proficiency in HRIS and payroll software
  • Ability to follow pre-established guidelines to perform a variety of functions and work independently
  • Ability to follow professional appearance and dress code guidelines.
Work Environment

This position operates in a professional office environment and requires regular use of standard office equipment such as computers, phones, and copy machines. Some travel to client sites may be required.

Physical Requirements

Must be able to sit for extended periods and work on a computer. Occasional lifting of up to 15 pounds may be necessary.
