Office Coordinator / Service Scheduler

Our client is looking for a detail-oriented and customer-focused Office Coordinator to support scheduling, customer communications, and day-to-day administrative operations. This role serves as a key point of contact for customers and internal staff, ensuring service appointments are organized efficiently and information is communicated accurately. The company offers a structured environment with established procedures and provides training on its systems and processes.

This position is temp to hire and will pay between $21 and $25/hr.

Responsibilities

  • Manage incoming calls and respond to customer inquiries.
  • Coordinate daily service schedules and assign work requests to field personnel.
  • Keep customers informed of appointment times, schedule adjustments, and service updates.
  • Monitor technician availability and update schedules accordingly.
  • Maintain accurate appointment records within scheduling software.
  • Provide administrative support including data entry, document management, and invoicing assistance.
  • Follow up with customers regarding service requests and outstanding items.
  • Assist with the coordination of daily office activities and workflow.
  • Communicate effectively with field staff and office personnel to ensure smooth operations.
  • Support customer satisfaction by providing timely and professional service.

Qualifications

  • Previous experience in customer service, scheduling, dispatching, or office administration.
  • Strong verbal and written communication skills.
  • Professional and courteous phone etiquette.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Highly organized with strong attention to detail.
  • Positive, team-oriented attitude and reliable work habits.
  • Comfortable learning new software applications and business processes.
  • Working knowledge of Microsoft Office, including Excel.
  • Strong problem-solving and follow-up skills.
  • Ability to work effectively in a collaborative office setting.
