Office Coordinator / Service Scheduler
Our client is looking for a detail-oriented and customer-focused Office Coordinator to support scheduling, customer communications, and day-to-day administrative operations. This role serves as a key point of contact for customers and internal staff, ensuring service appointments are organized efficiently and information is communicated accurately. The company offers a structured environment with established procedures and provides training on its systems and processes.
This position is temp to hire and will pay between $21 and $25/hr.
Responsibilities
- Manage incoming calls and respond to customer inquiries.
- Coordinate daily service schedules and assign work requests to field personnel.
- Keep customers informed of appointment times, schedule adjustments, and service updates.
- Monitor technician availability and update schedules accordingly.
- Maintain accurate appointment records within scheduling software.
- Provide administrative support including data entry, document management, and invoicing assistance.
- Follow up with customers regarding service requests and outstanding items.
- Assist with the coordination of daily office activities and workflow.
- Communicate effectively with field staff and office personnel to ensure smooth operations.
- Support customer satisfaction by providing timely and professional service.
Qualifications
- Previous experience in customer service, scheduling, dispatching, or office administration.
- Strong verbal and written communication skills.
- Professional and courteous phone etiquette.
- Ability to manage multiple priorities in a fast-paced environment.
- Highly organized with strong attention to detail.
- Positive, team-oriented attitude and reliable work habits.
- Comfortable learning new software applications and business processes.
- Working knowledge of Microsoft Office, including Excel.
- Strong problem-solving and follow-up skills.
- Ability to work effectively in a collaborative office setting.
