- Provide general administrative support to Summer Club programs, working closely with School Age Supervisors
- Support two School Age Supervisors with daily operational and administrative tasks
- Assist with printing, copying, and preparation of program materials and documents
- Ensure registration information is accurate and up to date; follow up to obtain any missing details
- Organize and maintain program files, registration records, and attendance tracking systems
- Support communication with families, including emails, information package distribution, and weekly newsletters
- Assist in preparing weekly program materials aligned with planned themes
- Maintain accurate records in accordance with YMCA policies and licensing requirements
- Support coordination of weekly pre-planned field trips, including permission forms, attendance lists, and logistics
- Help manage inventory of supplies and equipment
- Ensure office and storage areas are clean, safe, and well-organized
- Provide additional support during busy program times, transitions, and special events
- Assist with September program start-up, including registration organization, classroom setup, and materials preparation
- Uphold YMCA values, policies, and confidentiality standards
- Previous administrative experience an asset
- Demonstrate a high level of organizational and administrative skills
- Exhibit exceptional customer service skills coupled with cultural sensitivity
- Excel in maintaining process and detail orientation while adeptly managing multiple tasks
- Proficient in utilizing Microsoft Office tools such as Excel, Word, and Outlook
- Demonstrate excellent verbal and written communication skills
- Capable of working both independently and collaboratively in a team environment
- Proactively take initiative and manage time effectively in a fast‑paced, dynamic setting
- Prioritize workload with precision, showcasing impeccable organizational skills and attention to detail
- Possess analytical and problem‑solving acumen
- Successful candidate will be required to provide 3 satisfactory references
- Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date
- Job requirement as per the Canada Summer Jobs funding requirements
