Reporting to the Chief Operating Officer, the incumbent is responsible for ensuring the smooth logistical and material operation of the institution. They are also responsible for the daily management of equipment, room setup, purchasing, and photocopier management.
They play an essential role in supporting teachers, employees, and students by ensuring that all necessary equipment is available, functional, and aligned with the School’s needs.
They also contribute to the preparation and smooth execution of internal events.
Key Responsibilities- Inspect the general condition of studios and classrooms (chairs, tables, boards, lighting, audiovisual equipment, etc.), as well as the building itself, including hallways and common areas, in order to ensure a functional and collaborative environment.
- Respond to teachers’ needs for daily activities (televisions, projectors, sound systems, screens, etc.).
- Handle last-minute requests related to pedagogical or administrative activities.
- Carry out necessary purchases for 5030 and for the Monument‑National, and ensure administrative follow‑up.
- Monitor equipment inventory in the supply room and ensure the availability of materials intended for resale to students.
- Prepare classrooms and studios according to specified requests and needs.
- Perform requested photocopying and scanning tasks.
- Complete copyright forms for all document reproductions, in collaboration with the Head Librarian.
- Maintain up‑to‑date inventory of equipment and supplies.
- Manage equipment loans and ensure proper tracking.
- Carry out logistical transportation (“van run”) between the two buildings approximately every two weeks.
- Visit the Canada Post counter for the School’s outgoing and incoming mail.
- Manage photocopiers entirely (supply room, students, and administration).
- Collaborate with the Facilities Manager and provide coverage during their vacation periods (building inspection and follow‑up as needed).
- Assist with the preparation and setup of internal events and special projects (networking events, admissions process, graduation ceremonies, etc.).
- Plan, organize, and supervise student maintenance work during the summer period.
- Ensure the reset of rooms and spaces during the summer period.
- Coordinate with the piano tuner and follow up on required service interventions.
- Assist in the physical preparation of offices for new employees.
- Strong organizational skills and attention to detail for coordinating spaces, logistics, and equipment.
- Ability to manage multiple requests simultaneously.
- Basic knowledge of office software, printing systems, and audiovisual equipment.
- Ability to lift and move equipment.
- Excellent customer service and teamwork skills.
- Bilingual communication skills in French and English.
- Autonomy and initiative.
- Valid driver’s license.
- Ability to lift loads of up to 25 kg.
