The Role
Personal Assistant to the Clinical Service Manager and Lead Nurse for General Surgery, Breast, Vascular and Major Trauma and Clinical Service Manager for Ophthalmology. The post holder provides an extensive and comprehensive administrative service, organising and prioritising workload to ensure the smooth day‑to‑day running of the management office.
Duration, Location and Working Pattern
Permanent, full‑time post (37 hours per week) at Queen Elizabeth University Hospital, shift pattern Monday to Friday.
Key Responsibilities
Provide an internal and external contact service between the service, NHS Greater Glasgow & Clyde management, external agencies, ensuring all enquiries are dealt with timeously and providing relevant information or routing to the appropriate person.
Assist the Senior Manager in managing their working day by arranging appointments, addressing enquiries via telephone or in person, exercising initiative in resolving issues and advising on proper communication channels to minimise interruptions.
Maintain and update the Senior Manager’s diary, both electronic and manual, and prioritise meetings as appropriate.
Produce accurate documentation, correspondence and reports, including routine and non‑routine letters in a prompt and efficient manner.
Collect, extract and present data required by the Senior Manager to prepare papers and reports for meetings.
Attend meetings and take minutes, ensuring minutes and associated documentation are cascaded to relevant personnel in preparation for meetings.
Knowledge, Training, Qualifications and Experience Required
HNC/SVQIII in Secretarial Studies/Business Administration or equivalent experience.
Minute‑taking skills.
Proficient in Microsoft Office Packages.
Advanced keyboard skills.
Excellent organisational, communication and problem‑solving skills.
Ability to work independently or as part of a team, managing and prioritising own workload.
Excellent interpersonal skills with a professional attitude, especially under pressure with deadlines and conflicting interests.
