POSITION TITLE:

Legislative Assistant

CLASSIFICATION:  MGO-05

SALARY RANGE:  Starting at $58,366.00 Per Annum

POSITION TYPE:  Full-time, Permanent

LOCATION:

Saskatoon

ACCOUNTABLE TO:  Minister of NR3

Brief Overview
The Legislative Assistant provides comprehensive administrative, coordination, and operational support to the Minister. This position is responsible for managing schedules, coordinating travel and meetings, preparing documents, maintaining records, and supporting communications with internal and external stakeholders.

Key Responsibilities
Ministerial Administrative Support

Provides administrative and coordination support to the Minister by monitoring, responding to, and tracking inquiries, correspondence, and follow-up items to ensure timely communication and resolution.

Performs a broad range of general administrative functions, including calendar management, document preparation, records maintenance, filing, data entry, and responding to internal and external inquiries.

Coordinates and manages all travel arrangements for the Minister, including transportation, accommodations, itineraries, meeting schedules, briefing materials, and logistical requirements.

Prepares and processes travel expense claims and AP forms, ensuring accuracy, completeness, compliance with policies, and timely submission for approval and reimbursement.

Ensures the Minister's schedule and activities are aligned with broader government priorities, key meetings, and governance processes, including Provincial Métis Council (PMC), Métis Nation Legislative Assembly (MNLA), and other events.

Meeting & Briefing Support

Coordinates meeting logistics by preparing meeting rooms, organizing materials and agendas, scheduling meetings, and attending meetings to record notes, track action items, and provide follow-up support as required.

Maintains confidential files, records, and databases while ensuring compliance with organizational policies, privacy requirements, and information management standards.

Project Coordination & Operational Support

Supports the planning, coordination, and management of administrative projects, including tracking deliverables, timelines, and action items to ensure project objectives are met.

Participates in cross-ministerial coordination initiatives by facilitating communication, tracking action items, and supporting the implementation of shared priorities and projects across ministries.

Provides coordination support to the Minister by facilitating the flow of information, monitoring deadlines, coordinating submissions, and ensuring materials are prepared and distributed in accordance with established governance processes and timelines.

Communications & Stakeholder Relations

Acts as a liaison between the public service, elected officials, community partners, government representatives, and external organizations to support effective communication and coordination.

Knowledge And Skills

Excellent organizational and time management skills, with the ability to manage multiple priorities and meet competing deadlines.

Strong attention to detail and accuracy in preparing documents, reports, records, and correspondence.

Understanding of Indigenous governance structures, Métis history, culture, rights, and contemporary issues affecting Métis citizens and communities.

Ability to build relationships and networking skills with government officials, elected leaders, community partners, and stakeholders.

Excellent verbal, written, and presentation communication skills, including experience preparing briefings, reports, speeches, and strategic recommendations for executive audiences.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and other office technologies.

Knowledge of administrative and office management practices, procedures, and systems.

Knowledge of records management, document control, and information management principles.

Qualifications

3+ years of relevant work experience in an administrative role.

Office management education is considered an asset.

Experience working within Indigenous governments or organizations is considered an asset.

Additional Requirements

Valid Saskatchewan driver’s license and/or reliable transportation to downtown Saskatoon.

Successful candidate must undergo a Criminal Record Check.

Travel requirement: support and attend travel-related activities as required by the position.
