The Branch Office Coordinator/In-force Specialist is an in-office position responsible for general branch administration including office reception, handling incoming and outgoing mail, and keeping the office organized and supplied. This role is also responsible for Inforce activities including policy updates and changes, ensuring the back-office system and carrier websites are updated, obtaining any missing or incomplete information from advisors or clients, and following up as required with advisors and carrier partners.

This is an entry level position with lots of room to grow within the organization.

What you will do:

Office Administration

Office reception for guests, carrier representatives and advisors

Provide excellent customer service to both clients and advisors via telephone, email and face-to-face interaction

Sort and distribute all incoming and outgoing mail; organize and file advisor information including policies, mail and transaction confirmations at high volumes

Scanning & emailing of various documentation for processing and advisor delivery

Order and maintain sufficient office supplies

Liaison for service requests between building management and branch office

Communicates effectively with colleagues, insurance carriers, advisors and clients

Perform any other duties as assigned

Inforce

Process inforce policy change requests on behalf of advisors or clients (for orphan cases) ensuring Service Level Agreements are met

Communicate with advisors to obtain and/or clarify any missing or incomplete information

Update and maintain information in Wealth Serv and insurance carrier websites, including attaching all emails or other supporting documentation into the file

Process transfer ownership forms for beneficiary changes

Process Agent of Record changes

Maintain an organized filing system for easy referral and retrieval

Maintain regular communication and follow up between carriers and advisors throughout the inforce process ensuring Service Level Agreements are met

Ensure advisors receive clear and consistent communication

What you will bring:

Post-secondary degree, diploma, or related work experience

Sound knowledge of insurance products

Excellent customer service skills

Self-starter and self-motivated

Strong interpersonal and communication skills. Communicates effectively (internally and externally).

Excellent organizational skills

Strong time management skills and ability to multi-task and prioritize work in a fast paced environment

Detail-oriented maintaining accuracy and consistency

Proven experience with Microsoft programs such as Word, Excel and Outlook

Experience in Wealth Serv an asset

Industry courses would be an asset

This position will be located in the Winnipeg head office.

The base salary for this position is between  $41,200 - $55,700  annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
