Clerical Assistant, Admissions and Transfer Credit  The clerical assistant supports the department's processes by evaluating educational qualifications, credentials, and transcripts for applicants seeking entry into university programs. This role processes and reviews domestic and international undergraduate applications, assesses documentation from multiple sources, and records information within student information systems. This position communicates with applicants, educational institutions, testing agencies, and university personnel regarding application status, credentials, and admission-related matters.

The assistant contributes to student recruitment and admission activities by maintaining accurate applicant records and facilitating application processing.

Duties and Responsibilities:

Reviews, processes, evaluates, and makes admission decisions on domestic and international undergraduate applications.
Organizes and synthesizes information from transcripts, correspondence, examination results, and other applicant documentation.
Interprets application data and records it in student information systems.
Verifies the authenticity of high school, post-secondary, and testing credentials with educational institutions and testing agencies.
Coordinates communications with applicants by drafting and editing correspondence regarding application status and processing related documentation.
Documents and maintains transfer credit information in the student information system.
Provides information and updates regarding applicant files and supporting documents to recruitment and admissions staff.
Responds to inquiries from applicants and university personnel regarding applicant files.
Assists with training new staff members.
Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement.
Undertakes related duties, as assigned, consistent with the nature of the position.

Qualifications:

An office administration diploma.
Minimum of two years of related experience within a post-secondary institution, preferably in an admissions or registrar’s office.
Strong customer service skills.
Ability to exercise tact, discretion, confidentiality, and cultural sensitivity.
Effective organizational and time-management skills.
Ability to process large volumes of information while maintaining deadlines and accuracy.
Strong attention to detail.
Excellent communication and interpersonal skills.
Ability to work effectively both independently and collaboratively in a team.
Proficient computer skills, including Microsoft Office applications, data entry, Banner Student Information System, and Customer Relationship Management (CRM) Recruit.
