The Vendor Qualification & Tender Management Specialist is responsible for managing the company's vendor registration, prequalification, and compliance activities across Saudi Aramco and other client platforms. The role also oversees the end-to-end tender management process, ensuring timely submission of bids, maintaining compliance with client requirements, and supporting business development initiatives to maximize new business opportunities.
Key Responsibilities- Manage company registration and prequalification on Saudi Aramco and other client/vendor portals.
- Maintain and update company profiles, commercial registrations, licenses, certifications, and mandatory documents.
- Ensure continuous compliance with client qualification requirements.
- Monitor qualification status, portal notifications, and document expiry dates.
- Coordinate with internal departments to collect technical, commercial, financial, legal, and HSE documentation.
- Submit and follow up vendor qualification applications until approval.
- Maintain accurate records of registrations, certifications, and compliance documents.
- Build and maintain strong relationships with client vendor management teams.
- Administer company accounts on Saudi Aramco and other customer portals.
- Ensure company information remains current and compliant.
- Monitor new registration opportunities, qualification updates, and portal announcements.
- Resolve portal-related issues and coordinate with client support teams when required.
- Monitor tender portals and identify new bidding opportunities.
- Review tender documents and evaluate commercial and technical requirements.
- Coordinate with engineering, estimation, procurement, finance, HSE, QA/QC, and management teams to prepare complete bid submissions.
- Prepare tender documentation, commercial proposals, and compliance matrices.
- Ensure bids are submitted accurately and before deadlines.
- Manage tender clarifications, addenda, and client communications throughout the bidding process.
- Maintain a tender tracking system covering opportunities, submissions, awards, and feedback.
- Support contract award documentation and post-award administrative activities.
- Ensure full compliance with company procedures and client requirements.
- Prepare periodic reports on vendor qualification status, tender activities, success rates, and upcoming opportunities.
- Recommend improvements to registration, qualification, and tender management processes.
- Bachelor's degree in Business Administration, Engineering, Supply Chain Management, or a related field.
- 3-5 years of experience in vendor registration, supplier qualification, and tender management.
- Practical experience with Saudi Aramco supplier portals is highly preferred.
- Experience with other client portals such as SABIC, SEC, NEOM, Royal Commission, Ma'aden, and similar organizations is an advantage.
- Strong understanding of procurement and tendering processes.
- Excellent English and Arabic communication skills.
- Advanced proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
