Location: Sault Ste. Marie

Short‑term Administrative Assistant – Contract with Ontario Public Service. Locations:
Sault Ste. Marie, Sudbury, North Bay, and Thunder Bay. Salary: $26.92–$31.31 per hour. Closing Date:
September 30, 2026.

Responsibilities
  • Organize files, manage emails, and maintain records to support smooth daily operations.
  • Prepare and format documents, reports, and communications using standard templates.
  • Schedule meetings, coordinate calendars, and assist with logistics to keep teams organized.
  • Greet visitors and respond to phone and email inquiries to provide helpful information and welcoming service.
  • Update shared resources and monitor office supply levels to support readiness and efficiency.
  • Support purchasing tasks and assist with expense and invoice tracking to ensure financial accuracy.
  • Monitor timelines, follow up on tasks, and support team coordination to keep projects moving forward.
  • Use standard office software and equipment to complete daily tasks effectively.

    :
    Prioritize multiple tasks and meet deadlines; schedule meetings and assist with logistics; track tasks and follow up for timely completion.

    :
    Interact respectfully and professionally with colleagues, clients, and visitors via in‑person, phone, and email; listen actively and ask appropriate questions; prepare clear, well‑structured documents and emails.
  • Attention to detail & initiative
    :
    Review and maintain accurate documents, records, filing systems, and inventories; identify issues and propose solutions; support purchasing, expense tracking, and invoice review; follow procedures and service standards.
  • Digital and office technology skills
    :
    Use common office software (Outlook, Word, Excel, SharePoint, Teams); operate office equipment such as printers, scanners, and phones; enter and retrieve information from databases or tracking systems.
