As Castlemain continues to grow across programs and regions, we’re evolving how we support our people. The Manager, People Operations & Systems plays a pivotal role in strengthening our systems, data, and processes, helping ensure the People Team operates efficiently, accurately, and strategically.
This role is responsible for the end-to-end ownership of People systems, data, and employee lifecycle processes, including onboarding, offboarding, and status changes. You will lead the optimization of tools such as UKG and Kantata, develop reliable reporting and dashboards, and build streamlined, user‑friendly processes that enable the People Team and leaders to operate with confidence.

Our team is dedicated to providing trauma‑informed, culturally safe communications and community support programs.
The First Nations Child and Family Services and Jordan’s Principle Settlement is aimed at compensating those harmed by discriminatory under funding of the First Nations Child and Family Services Program, as well as those impacted by the federal government’s narrow interpretation of Jordan’s Principle. The Settlement Agreement was approved by the Federal Court on October 23, 2023.
Key Responsibilities Systems & Process Optimization- Own and manage Castlemain’s HRIS (UKG) and related systems (e.g., Kantata, reporting tools).
- Lead system configuration, optimization, testing, and documentation.
- Ensure data accuracy, integrity, and alignment across systems.
- Partner with IT, vendors, and internal stakeholders on integrations, enhancements, and issue resolution.
- Design and deliver recurring People reports and dashboards (e.g., headcount, turnover, PTO, lifecycle metrics).
- Translate People data into clear, actionable insights for leaders.
- Conduct regular audits to ensure data accuracy, compliance, and consistency.
- Support ad hoc data requests and organizational planning initiatives.
- Own end‑to‑end onboarding, offboarding, and status change processes, ensuring each step is timely, compliant, and well‑documented.
- Standardize and improve People Team workflows and templates.
- Support implementation of new People programs, policies, and initiatives.
- Identify opportunities to reduce manual work, rework, and operational risk.
- Act as the primary point of contact for People systems questions and support.
- Develop and deliver training, guides, and documentation.
- Support change management related to systems or process updates.
- Enable consistent and confident use of People systems across the organization.
Required:
- 5-7 years of experience in People Operations, HRIS, or People Systems roles.
- Successful background check.
- Experience with UKG (Ulti Pro);
Kantata experience an asset. - Strong technical and analytical capability (Excel required; Power BI or similar tools an asset).
- Proven experience owning systems, processes, and data end to end.
- Highly detail‑oriented with a strong commitment to accuracy and follow‑through.
- Collaborative, proactive, and comfortable working across teams and priorities.
- Passion for process improvement and building sustainable operations.
- Self‑identifying as Indigenous and/or having lived or worked experience with Indigenous communities is considered an asset.
