Office Assistant
The City of Savage is now accepting applications for a part-time Office Assistant position to work at the front desk of City Hall, providing excellent customer service and general office support. Job duties include routine clerical functions such as answering phones, greeting visitors, entering data, and maintaining and reviewing documents and records. This is a fully on-site position working 21.5 hours per week.
Regular work hours are 8:00 a.m. to 4:30 p.m. on Monday and noon to 4:30 p.m. on Tuesday, Wednesday and Thursday. Seeking candidates who have the flexibility to occasionally cover other daytime hours during the week with advance notice. Position includes pension benefits and paid time-off. Anticipated Hiring Range: $23.48 to $25.40 per hour. Full 2026 Pay Range: $23.48 to $30.93 per hour.
Functions And Responsibilities
- Answer phones and greet visitors, including directing callers and visitors, answering common questions, and providing information.
- Inventory and requisition office supplies.
- Open, date stamp, sort, and distribute incoming mail including deliveries; prepare bulk mailings and meter outgoing mail.
- Receive and receipt payments, fees and/or departmental deposits; maintain and balance cash drawers; maintain cash controls according to established procedures.
- Perform data entry and maintain records in computerized databases.
- Draft office communications including letters, reports, permits, licenses, and related materials.
- Copy, compile, distribute, and file paperwork and records.
- Coordinate calendars, schedule meetings and provide other administrative support to staff within the Administration Department, as assigned.
- Process a variety of applications, licenses, permits, invoices, documents, and forms; maintain appropriate files and reports.
- Assist with election operations by answering voter questions, organizing supplies, and backing up absentee voting staff as assigned.
- Performs other related duties, as apparent or assigned.
High school diploma or equivalent, and at least one year of related work experience involving customer service and office support. Prior work experience as an organization's "first-point-of-contact" for customers and the public. Prior work experience involving Minnesota elections. Ability to speak a second language, in addition to English, that is commonly found in the community.
