Administrative Assistant II

Primary duties include providing administrative support to the Marine Extension and Georgia Sea Grant’s Marine Education Center and Aquarium, and assisting with the Shellfish Research Lab, both located on Skidaway Island. The position involves coordinating aquarium admission desk and lobby operations, managing visitor experiences, and supporting visiting groups and public programs.

Position Summary

This full‑time role is located in Savannah, Georgia, and involves 80% focus on aquarium operations and 20% on administrative tasks including invoicing, event scheduling, and program registration. Additional responsibilities include P‑card use and compliance with departmental policies.

Responsibilities
  • Oversee admission desk and public lobby operations, ensuring excellent visitor service and answering phones.
  • Invoicing, payment requests, record keeping, reporting, archiving, and purchasing using UGA systems.
  • Assist in coordinating visiting groups, dormitory housing check‑ins, public programs and summer camp registration.
  • Assist with scheduling events using Destiny.
  • Support research and outreach programs as needed.
Qualifications
  • High school diploma or equivalent with 2 years of related experience.
  • Bachelor’s degree with 1 year of related professional experience, or equivalent combination of education, experience, and training.
  • Professional administrative experience (e.g., managing invoices, keeping records, preparing reports, scheduling events, maintaining databases).
  • High level of professionalism and ability to interact with diverse audiences and team members.
  • Proficiency with Microsoft Office software.
  • Precise attention to detail, excellent writing, public speaking, communication, interpersonal, time‑management, and organizational skills.
  • Ability to represent Marine Extension and Georgia Sea Grant at community events and outreach programs.
Physical Demands

Lift up to 40 lbs, work in inclement weather conditions, and drive as required.
