Daikin Applied is hiring a Service Coordinator in Columbus, GA (In-Office).
Responsibilities- Work with the Operations Supervisor, Service Center Manager, or District Manager in scheduling and dispatching technicians for jobs (startups, repairs, warranty, maintenance).
- Handle customer inquiries and route technical questions to the appropriate resource.
- Coordinate job startups and maintain communication with customers regarding scheduling and follow-up on jobs in progress or completed.
- Invoice and bill customers.
- Assist with local office AP/AR functions and follow up with customers to ensure payment has been received.
- Coordinate warranty administration, parts orders, and track shipments.
- Answer telephone calls and greet customers while maintaining professional and courteous contact.
- Enter and maintain information in the Enterprise Resource System, including work orders, new customer data, and technician hours for billing.
- Ensure timely close-out of all work orders and that all associated paperwork is received and filed appropriately.
- Provide initial notification of workers’ compensation claims to the insurance carrier.
- Assist with data entry and maintain the integrity of the local office database, including forecast and opportunity reports, reassignments, and maintenance records.
- Assist with securing, booking, and releasing for the fabrication process.
- Assist in completing change-order proposals and booking related change orders within the order management system, updating office files as required.
- Assist in the preparation of customer proposals, PowerPoint presentations, letters, spreadsheets, bid bonds, certificates of insurance, payment/performance bonds, pre-qualification questionnaires, and order legal paperwork for contract award.
- Assist in updating and scheduling service labor, material, and subcontract labor to project planned project costs.
- Assist in managing the contract closeout process to ensure timely project closure.
- Coordinate installation transfer, warranty letter, and customer contact/survey processes as required.
- Process subcontracts and subcontractor invoices, including subcontractor documentation.
- Coordinate Daikin Applied invoice processes and subcontractor requirements (certificates of insurance, bonding, lien waivers) and ensure materials meet revenue plan.
- Generate subcontracts, safety documents, and release payments to subcontractors or associated invoices with A/R invoices under guidance from sales leadership.
- Identify and set up procurement agreements for subcontractors or approved vendors and assist in completing simple project billing schedules within specified time frames.
- Complete requests for information, transmittal letters, customer warm-up letters, project organizational charts, certified payroll, owner-directed insurance, etc.
- High School Diploma or GED.
- 2-4+ years of related experience in a mechanical, electrical, or plumbing service field.
- Bachelor’s degree may be considered in lieu of work experience.
- Experience in dispatching technicians (Preferred).
- Experience with Astea and/or other service tracking software (Preferred).
- Proficient knowledge of Microsoft Office Suite.

Work visa sponsorship is not available. The typical hourly pay range in Georgia is $23.65-$37.69.
