Overview & Responsibilities
Purpose of Job:
Manage our project documentation and client reporting workflows. Be responsible for the entire lifecycle of job reports and records which includes compiling data, sketches, and photos to final quality assurance and client delivery.
Manage the end-to-end lifecycle of physical and digital project documentation, ensuring systematic organization, archiving, and easy access for key stakeholders. Compile, type, edit, and submit final client reports, technical forms, sketches, and PowerPoint presentations based on specific job requests. Perform quality control checks on all outgoing reports and deliverables to ensure accuracy, completeness, and compliance with company policies and industry standards.
Package and deliver finalized report packages to clients according to project schedules. Maintain strict version control and oversee the organized archiving of job photos and documentation for long-term record-keeping.
Strong organizational and attention-to-detail skills. Proficiency in document management systems (DMS), Microsoft Office Suite, and web-based tools like SharePoint. Knowledge of electronic document management systems (EDMS) and data storage best practices. Ability to maintain confidentiality and handle sensitive information. Effective communication and collaboration skills to coordinate across multiple teams. College associate's degree in business administration, information management or a related field.
5 + years of experience in similar jobs. Familiarity with document management processes and compliance standards relevant to the industry.
