General Purpose

The Business Office Assistant provides support to the financial and administrative operations of a skilled nursing facility. This role assists with billing, collections, resident trust accounts, admissions paperwork, and clerical tasks to ensure accurate record keeping, efficient office operations, and compliance with facility policies and regulatory requirements.

Responsibilities

Billing & Finance Support

  • Assist with Medicare, Medicaid, and private insurance billing processes.
  • Post payments, reconcile accounts, and track outstanding balances.
  • Assist with collection and posting of resident payments and maintain supporting documentation.
  • Follow up on unpaid claims or accounts under the direction of the Business Office Manager.
  • Maintain accurate records of resident financial information, including trust fund accounts.

Resident Admissions & Records

  • Assist with admission and discharge paperwork, ensuring all forms are complete and properly filed.
  • Enter and update resident demographic, insurance, and financial data in electronic systems.
  • Collaborate with admissions, nursing, and social services teams to maintain accurate records.

Clerical & Office Duties

  • Answer and route phone calls professionally.
  • File, scan, and organize records securely in accordance with HIPAA regulations.
  • Petty cash management.
  • Order office supplies and maintain inventory.

Compliance & Confidentiality

  • Maintain confidentiality of resident and staff information at all times.
  • Ensure business office practices comply with company policies and regulatory guidelines.
Qualifications
  • Regular and reliable attendance is required to perform the essential functions of this position.
  • High school diploma or equivalent required; associate degree in Accounting, Business Administration, or related field preferred.
  • Previous experience in healthcare finance, administrative support, or skilled nursing facility business office preferred.
  • Basic knowledge of Medicare, Medicaid, and insurance billing processes.
  • Proficiency with electronic medical records (EMR) or billing systems preferred.
  • Strong organizational, clerical, and communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
