Event Services Coordinator (Full Time)

Savannah Convention Center (SCC) seeks a full‑time, entry‑level Event Services Coordinator to join our team. The role provides key logistical support in planning and executing events at the convention center, focusing on client communication, room setup coordination, and daily operational needs for small‑to‑mid‑size meetings.

Responsibilities
  • Administrative Support
    • Prepare reports, draft correspondence, maintain records, and document departmental meeting notes and action items.
    • Maintain and update internal tracking reports and systems; coordinate fire marshal floor plan approvals; enter event data into Momentus; monitor timelines and deadlines.
    • Communicate event requirements to internal departments (AV, set‑up, engineering, security, and other service departments) to ensure operational readiness and consistent service delivery.
    • Manage daily event sheets, assist with payment processing, and prepare client‑facing and promotional materials.
  • Event Services
    • Assist with planning and executing assigned events from pre‑planning through completion in accordance with SCC service standards.
    • Coordinate logistical requirements and serve as liaison between clients, vendors, and internal departments for seamless delivery.
    • Support clients in determining staffing, room setups, and equipment needs while providing guidance on facility capabilities and best practices.
    • Monitor event spaces to ensure setups match approved diagrams and that signage and event amenities are properly placed and maintained.
    • Educate clients on facility policies, including fire and life safety regulations, ADA requirements, and insurance guidelines.
    • Prepare and distribute event resumes, diagrams, estimates, invoices, and operational instructions; communicate updates to internal teams as needed.
    • Maintain accurate event records, track changes and expenses, and assist with billing reconciliation.
    • Provide professional, client‑focused customer service to clients, exhibitors, guests, and internal partners.
    • Attend and participate in operational and event planning meetings.
    • Serve as the onsite contact for assigned events, addressing real‑time requests and coordinating operational adjustments.
    • Serve as Manager on Duty for selected events, supporting operations and resolving service or logistical concerns.
    • Perform other duties as assigned to support departmental and organizational goals.
  • Reports directly to the Director of Events.
  • Work a flexible schedule, including early mornings, days, evenings, weekends, holidays, long workdays, and extended days as required by event needs.
Qualifications

  • Knowledge of event management operations, including exhibitor needs and customer service practices.
  • Basic understanding of electrical, water, and gas principles as they apply to event settings (preferred).
  • Basic mathematical skills.
  • Basic computer proficiency and Microsoft Office knowledge.
  • Familiarity with contract terminology and terminology used in entertainment and convention settings.
  • Excellent organizational, planning, and interpersonal skills.
  • Professional presentation, appearance, and work ethic.
  • Ability to function in a fast‑paced, high‑pressure environment.
  • Ability to follow written and oral direction with minimal supervision.
  • Highly motivated, self‑directed, personable, positive, and hardworking.
  • Detail‑oriented and able to perform independently with minimal supervision.
  • Strong written and oral communication skills; works well in a team‑oriented environment.
  • Ability to undertake and complete multiple tasks; organize and prioritize work to meet deadlines.
  • Work effectively under pressure and/or stringent schedule and produce accurate results.
Education and/or Experience
  • Degree from a higher education institution preferred.
  • Previous experience in guest services/hospitality required.
  • Experience with event management in a public assembly facility, convention center, arena, hotel, or similar facility preferred.
  • Experience with tradeshow and consumer show exhibitor services preferred.
