Office Operations Team Lead – Overview
Join GFT’s Strategic Services team in Schaumburg, IL as an Office Operations Team Lead. This full‑time, on‑site role requires regular attendance (5 days per week) and focuses on managing administrative functions for an approximately 100‑person office.
What You’ll DoAs Office Operations Team Lead you will independently carry out and manage administrative office functions, providing advanced support to Office Leadership and other staff while leading and managing an administrative team.
- Maintain a welcoming, safe, and tidy office environment for clients, visitors, and staff.
- Manage company correspondence (phone calls, emails, mail, packages).
- Assist with timesheets, expense reports, travel, conference, and meeting arrangements.
- Order lunches and assist with staff & client meetings.
- Review office vendor expenses, process invoices, and adhere to office budgets.
- Maintain office resources (space plans, furniture, supplies, technology equipment, SharePoint site).
- Work with property management on leasing, sustainability, security access, parking, and work order requests.
- Support the Office Principal and be available for office business matters.
- Assist in internal and external communications and respond to routine inquiries.
- Perform HR duties with supervisors on new‑hire orientation, workspace setup, and termination decommissioning.
- Lead internal activities/events and compliance of the Employee Engagement & Citizenship Program (EECP).
- Serve as safety coordinator (update evacuation plans, organize safety trainings, order equipment) and crisis event representative.
- Keep all office manuals and documentation updated.
- Lead office sustainability programs.
- Assist with growth of the Administrative Learning Program; serve as presenter or SME.
- Participate in strategic initiatives.
- Provide remote support to offices lacking on‑site administrative staff.
- Manage and lead administrative staff.
- 7‑10+ years of progressive experience in office operations or facilities management.
- Management, supervisory, and leadership experience.
- Experience working with senior leadership and interpreting company strategic goals.
- Advanced customer service skills.
- Advanced written and verbal communication skills.
- Advanced multitasking, prioritization, and organizational skills.
- Advanced proficiency in Microsoft Office Suite/O365.
- Strong analytical, problem‑solving, and process‑improvement abilities.
- Resourceful, proactive, and highly professional with discretion on confidential matters.
- Ability to work & support remotely.
- Bachelor’s Degree.
- Previous administrative experience within an AEC (Architecture, Engineering, or Construction Management) firm.
The salary range for this role is $60,000 – $85,000. Salary is dependent on experience and geographic location.
