The Administrative & Operations Assistant supports daily office operations, event coordination, sales activities, accounting processes and marketing efforts. This role requires strong organization, communication and ability to manage multiple priorities.
Responsibilities- Provide administrative support including phone coverage, scheduling meetings, correspondence, and office organization.
- Manage digital files, documents, photos and records across company platforms.
- Coordinate event logistics, site visits and client communications before and after events.
- Support sales processes including proposals, contracts, follow‑ups and scorecard updates.
- Assist with invoicing, payment tracking and coordination with accounting.
- Manage office supplies, inventory and vendor purchases.
- Support marketing efforts including social media, website updates and written communications.
- Maintain vendor and client relationships, including documentation and follow‑ups.
- Ensure office, meeting spaces and shared areas are prepared and well maintained.
- Are organized and detail‑oriented.
- Comfortable handling phones, e‑mails and day‑to‑day office tasks.
- Can multitask and prioritize shifting responsibilities.
- Proficient in Google Drive, communication tools and photo/file organization.
- Comfortable learning systems like Flex Rental Solutions, Instagram and Docu Sign.
- Have strong written and verbal communication skills.
- Works well independently and with a team.
- Professional with clients and vendors.
Education/Experience
High school diploma required; associate degree or bachelor’s in business, communications, or related field is a plus.
Internship, relevant clerical experience or administrative support work is beneficial but not always required for entry level.
Job Details- In‑office position (no remote option).
- Regular scheduled hours Monday‑Friday 7am‑3pm.
- $21/hr to start. Upon 90‑day favorable review increase to $23. Additional increases with experience.
