Position Overview
The Temporary Executive Assistant (EA) will coordinate activities for several leaders and maintain day‑to‑day office operations. The role is temporary, beginning March 20 and ending approximately mid‑July.
Key Responsibilities- Anticipate the needs of the executive team and business partners, completing tasks as required.
- Monitor incoming emails, prioritize issues, and respond to requests.
- Maintain electronic calendars, contacts, and task lists for the team.
- Create reports for executives and business partners, formatting information clearly.
- Coordinate webinars and conference calls.
- Create PowerPoint presentations for internal and external audiences.
- Draft correspondence and memoranda, ensuring accuracy and error‑free writing.
- Prepare and manage domestic and international travel schedules, including complex multi‑location itineraries.
- Complete projects assigned by the executive team with minimal supervision.
- Provide comprehensive administrative support in a complex, busy office environment.
- Demonstrate adaptability, flexibility, and willingness to support wherever needed.
- Execute multi‑tasking and prioritization, supporting multiple leaders amidst competing priorities.
- Track and close action items.
- Navigate institutional policies and procedures, building effective working relationships.
- High school diploma and at least 3 years of EA experience, or equivalent education and experience.
- Strong G‑Suite and MS Office proficiency (Word, Excel, PowerPoint, Outlook, Adobe Acrobat).
- Experience with corporate travel systems (Concur preferred).
- Ability to produce professional documents, spreadsheets, and presentations.
- Experience with procurement systems and corporate purchase cards.
- Excellent written and verbal communication, proofreading, and customer‑service skills.
- Diplomatic discretion when handling sensitive information.
