Construction Project Administrator — Job Description Position Summary

The Construction Project Administrator provides administrative and operational support to project managers, superintendents and subcontractors throughout the construction project lifecycle.

Key Responsibilities
  • Support Project Managers and Superintendents with day-to-day project administration.
  • Maintain project files within Procore Project Management Software.
  • Coordinating with different municipalities for Building Permits and scheduling of inspections.
  • Backup to our Front Desk Administrator for general front desk duties to include answering phones and processing Work Orders to Subcontractors via Docusign.
  • Follow up with subcontractors on submittals, change orders, purchase orders, and other project correspondence.
  • Distribute Three Week Look schedules to subcontractors.
  • Coordinate communication between the office, field personnel, subcontractors, vendors, and clients.
  • Assist with closeout activities, including warranties, as-built documentation, operation and maintenance manuals, and final project records.
  • Perform other administrative duties as needed to support successful project completion.
Qualifications
  • 2–3 years of construction and/or project administration.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple priorities at one time.
  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams.
  • Experience with construction management software such as Procore or similar platforms is a plus.
  • Ability to read and understand basic construction documents and terminology.
  • Ability to work effectively with project teams, subcontractors, vendors, and clients.
  • Maintain confidentiality when handling sensitive project and financial information.
