Position Summary
This role is responsible for partnering with outside sales to create cost‑effective proposals for repair work. In addition, this role maintains strong working relationships with outside vendors to ensure customer needs are met.
Responsibilities include:
- Partner with outside sales to meet customers’ timely needs for quotes and submissions to operations.
- Seek to understand the customer’s unique business needs to create competitive, accurate and timely estimates and proposals. Ensure the proposal encompasses the customer’s scope of service and seek internal technical advice as necessary.
- Maintain current work requests submitted by technicians, typically in an Excel spreadsheet, and utilize/maintain quoted work database to ensure integrity through accurate file management. Load information to a SharePoint site for viewing and collaboration with other team members.
- Ensure the Extra Work Authorization (EWA) is assigned to the correct Account Manager; gather information needed to develop quotes, including vendor costs; obtain internal approvals and send quote to customer. Upon customer approval, assist Account Managers with job set‑up process, including sending information to dispatchers.
- Provide other administrative support to assigned Account Manager and Sales Support team as appropriate.
- High School or GED required.
- 2–4 years of related experience, which may include commercial HVAC, estimating or parts/counter sales.
- Proficiency in Microsoft Office Excel, Outlook, Word and PDF.
- Strong data entry skills with a focus on accuracy.
- Excellent attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Excellent customer service skills.
- Strong prioritization and multi‑tasking skills.
