Job SummaryInly School seeks a part-time Front Office Receptionist to join our dedicated faculty and staff at our Toddler to Eighth Grade Montessori school, beginning August 1, 2026. This position is exempt, part-time, 12 months per year, 8:00 am to 12:00 pm Monday through Friday, including days when students may not be in attendance, and other days and times for special events as needed.
The ideal candidate is an enthusiastic, team-oriented, and experienced Administrative Assistant to join our front office team. They must enjoy engaging with the public and taking initiative while remaining flexible. They will bring a sense of humor, warmth, and humility as well as excellence in written and oral communications, empathy and listening skills. The Administrative Assistant reports to and works closely with the Head of School and the Executive Assistant to the Head of School, and meets weekly with them to discuss upcoming projects.
This position provides administrative support to the Head of School and the members of the Leadership Team.
- Provide direct administrative support to the Head of School and Executive Assistant to the Head of School.
- Assist the Executive Assistant to the Head of School by managing a busy calendar and serve as liaison with the parent body, faculty, staff and wider Inly community; plan, coordinate and assist with school-wide events in collaboration with other departments.
- Provide administrative support to the Board of Trustees as needed and help to plan board retreats and events alongside the Executive Assistant to the Head of School.
- Assist in creating and maintaining the annual school master calendar; support the school by coordinating meeting/event spaces; purchase supplies; and contribute to school duties.
- Maintain an organized and welcoming presence for all visitors, faculty, staff and students.
- Ensure that visitors are welcomed in a gracious and positive manner, with requests and tasks completed with the highest level of professionalism and courtesy.
- Conduct screening of all visitors to campus, ensuring access, safety, and health protocols that comply with School standards and operating procedures.
- Oversee the front desk and answer the telephone, responding to information requests and providing and creating system logins when necessary.
- Process, collect, sort, and distribute all incoming and outgoing mail and packages.
- Assist with in-school-wide events, gifts and awards.
- Maintain daily attendance
- Place school supplies orders
- Work with providers and facilities team to make maintenance updates/calls
- Work with IT consultant to assist students and families with login issues
- In collaboration with the Health Office and level teachers, to set up field studies, including but not limited to bus reservations, field study permission forms, follow-ups, etc.
- Produce, or assist with, the production of analytical and demographic reports, mailing lists, and other data extractions as requested.
- Provide administrative support to the Senior Leadership Team
- Serve as the liaison to the Scituate Public School bus service for our students
- Bachelor’s degree
- Minimum 2 years’ school or office administration experience preferred
- Proficient with technology usage, (Blackbaud, MS Word, Excel, PowerPoint or G Suite, Google Docs and Sheets) and willingness to learn new products.
- Blackbaud experience a plus
