Salary range: $75,000 to $95,000 annually

Dana Whiting Law is seeking a dependable and highly organized Accounting & Payroll Administrator to oversee core financial and employee-administration functions for a growing estate planning and probate law firm. This position is responsible for payroll processing, employee benefits administration, accounts payable, accounts receivable, and support for financial reporting. The ideal candidate is detail‑oriented, discreet, and comfortable working in a professional services environment where accuracy, responsiveness, and confidentiality are essential.

Responsibilities
  • Process payroll accurately and on schedule, including new hires, terminations, pay changes, deductions, and other routine adjustments.
  • Administer employee benefits, including enrollments, changes, terminations, and communication with benefits vendors as needed.
  • Manage accounts payable, including invoice review, coding, payment scheduling, and vendor coordination.
  • Manage accounts receivable, including preparing and sending client invoices, billing support, payment tracking, and follow‑up on outstanding balances.
  • Assist with monthly reporting, reconciliations, and preparation of records for outside bookkeepers and accountants.
  • Prepare and provide regular financial and payroll‑related reports to the firm’s partners, including updates on key accounting metrics, cash flow, and administrative matters as requested.
  • Maintain accurate financial and employee records while safeguarding confidential information.
  • Respond to staff questions regarding payroll, benefits, and related administrative matters.
  • Support process improvements and help maintain efficient financial workflows across the firm.
  • Any other Accounting & Payroll Administration duties as needed.
Qualifications
  • 3 or more years of experience in payroll, bookkeeping, accounting operations, or financial administration.
  • Hands‑on experience with Quick Books and Clio
    . Clio is used in law‑firm operations and integrates with Quick Books Online, which makes that experience especially relevant.
  • Experience processing payroll and administering employee benefits.
  • Experience with AP, AR, reconciliations, and supporting external accountants or bookkeepers.
  • Strong attention to detail, reliability, and ability to manage deadlines independently.
  • Excellent communication skills and a high level of discretion.
Preferred experience
  • Experience in a law firm or other professional services environment.
  • Familiarity with legal billing workflows and the financial operations of a multi‑attorney office.
  • Comfort working across both payroll/HR‑adjacent tasks and accounting tasks.
Compensation and benefits
  • Competitive salary: $75,000 to $95,000 per year
