The Accounting & Finance Manager is responsible for overseeing the Company's day-to-day accounting and financial operations while ensuring accuracy, compliance, and timely reporting. This role manages payroll, company financial records, sales tax filings, reporting, reconciliations, and budgeting while providing financial insight to Ownership. The Accounting & Finance Manager plays a critical role in maintaining the financial health of Rancher Hat Bar and supporting the Company's continued growth.
This position reports directly to Ownership and is an in-office role based at Rancher Hat Bar Headquarters in Scottsdale, Arizona.
Primary Responsibilities- Oversee the Company's day-to-day accounting operations.
- Maintain accurate financial records and general ledger accounts.
- Prepare monthly, quarterly, and annual financial reports.
- Review and reconcile all bank, credit card, and merchant accounts.
- Monitor cash flow and assist Ownership with financial planning.
- Assist in preparing budgets and financial forecasts.
- Prepare monthly Profit & Loss statements and financial summaries.
- Identify discrepancies and resolve accounting issues promptly.
- Ensure financial records are accurate, organized, and audit-ready.
- Process bi-weekly payroll accurately and on time.
- Maintain employee payroll records and compensation changes.
- Verify timecards, salaries, bonuses, commissions, reimbursements, and deductions.
- Ensure payroll complies with all federal, state, and local laws.
- Process final paychecks and employee payroll adjustments.
- Coordinate payroll-related reporting and year-end processing.
- Process vendor invoices and payments.
- Maintain vendor records and payment schedules.
- Monitor outstanding invoices and collections.
- Reconcile customer payments and deposits.
- Resolve billing discrepancies.
- Prepare and file state and local sales tax returns.
- Maintain business licenses and tax registrations.
- Ensure compliance with payroll tax requirements.
- Assist with year-end tax preparation and external accountants.
- Maintain financial documentation for audits and regulatory compliance.
- Create spreadsheets, dashboards, and financial reports for Ownership.
- Track key financial metrics and business performance.
- Analyze labor costs, payroll percentages, inventory costs, and operating expenses.
- Generate weekly and monthly reports to support business decisions.
- Identify trends and opportunities for cost savings and operational improvements.
- Assist with inventory reconciliations and valuation.
- Review inventory adjustments and investigate discrepancies.
- Monitor cost of goods sold (COGS) and inventory-related expenses.
- Support store managers with financial and reporting questions.
- Maintain organized accounting files and financial records.
- Improve accounting procedures and financial workflows.
- Assist with special projects and company growth initiatives.
- Maintain confidentiality of all financial and payroll information.
- Support Ownership with additional accounting and finance responsibilities as assigned.
- 5+ years of accounting, bookkeeping, payroll, or finance experience preferred.
- Strong understanding of GAAP, CCP and accounting principles.
- Experience processing payroll for multi-location businesses preferred.
- Experience filing multi-state sales tax returns preferred.
- Advanced proficiency in Microsoft Excel and Google Sheets.
- Experience with accounting software such as Quick Books, Net Suite, Sage, or similar.
- Strong analytical, organizational, and problem‑solving skills.
- Excellent attention to detail and accuracy.
- Ability to manage confidential information with discretion.
- Strong written and verbal communication skills.
- Ability to prioritize multiple projects and meet deadlines in a fast‑paced environment.
- Demonstrate professionalism, integrity, and accountability.
- Maintain complete confidentiality regarding payroll, financial records, employee compensation, and company information.
- Communicate proactively with Ownership regarding financial performance and potential issues.
- Continuously improve accounting systems and internal financial controls.
- Take ownership of assigned responsibilities and ensure accuracy in all financial reporting.
- Support the Company's growth by building scalable accounting and financial processes.
- Ability to remain seated and work at a computer for extended periods.
- Occasionally lift and move items up to 25 pounds.
- Ability to travel occasionally to stores or company events if needed.
