Job Description

GENERAL RESPONSIBILITIES: FLSA:
Hourly

Supports District schools and principals in their effort to foster an optimal educational environment for students. Provide administrative assistance to the Facilities & Construction Department.

MAJOR DUTIES:

  • Coordinate all facility requests. Including contracts, insurance and scheduling with all school sites.
  • Security scheduling for weekend events (churches, sports etc.).
  • Troubleshoot telephone-programming problems for all school sites and provide technical support for telephone system to district employees.
  • Order, distribute and log all cell phones for district employees.
  • Input all utilities for school sites: gas, electric and water bills.
  • Input completed skilled work requests.
  • Answer phones and direct calls or messages to the appropriate individual.
  • Provide customer service.
  • Handle problems associated with refuse hauler.
  • Collect invoices from facilities staff and distribute to the appropriate department.
  • Maintain alarm log on all schools.
  • Maintain warranty log on all schools.
  • Open, sort and prioritize mail.
  • Prepare correspondence.
  • Complete remote requisitions for facilities department and distribute purchase orders accordingly.
  • Keep updated purchase order list.
  • Keep facilities staff updated on events and meetings.
  • Prepare all material needed for meetings.
  • Process and submit time sheets for Facility & Construction department.
  • Maintain all construction files.
  • Order parts.
  • Complete other related duties and tasks as assigned.

QUALIFICATIONS:

  • High school graduate or equivalent.
  • Secretarial or clerical experience.
  • Ability to type accurately and use word processors.
  • Capable of operating office machines and equipment (to include 2-way radio)
  • Computer literate in word processing and spreadsheet software.
  • Effective interpersonal and communication skills.
  • Must be able to perform major tasks.
  • Must be able to work independently from oral and/or written instructions.
