Job Description

General Responsibilities: Supports District schools and principals in their effort to foster an optimal educational environment for students. Provides administrative assistance to the Principal.

  • Coordinates appointments and meetings between parents and administration
  • Handles phone calls and messages for administration and staff
  • Leads and directs office staff
  • Prepares the Daily Announcements
  • Notifies administration of discipline problems, emergency maintenance situations, and complaints from patrons
  • Responds to staff and student inquiries
  • Registers substitute teachers in and out using Smartfind and sub schedule
  • Maintains time clock and leave requests
  • Parent communication apps
  • Proficient in Microsoft Office and Google
  • Prepares forms used at site
  • Posts activities to the school calendar
  • Coordinates commencement
  • Processes facilities use and field trip requests
  • Assists with preparation of Student/Parent Handbook and Curriculum Guide
  • Keeps the mail area clean and updates names on mailboxes
  • Types, copies, and mails newsletters, school calendars, and bulletins
  • Creates requisitions
  • Orders and maintains office supplies/equipment and budget
  • Program school bell schedules
  • Exercises good judgment in dealing with the public
  • Maintains confidentiality of all student information
  • Updates the marquee daily
  • Manages staff key assignments
  • Organizes check in/out of staff at the end of the year
  • Schedules school photos for staff and students
  • Trains and supervises volunteers
  • Performs other job‑related duties as assigned
Qualifications
  • High school diploma
  • Previous secretarial experience
  • Ability to type accurately
  • Ability to learn and operate computers as required
  • Effective interpersonal and communication skills
  • Ability to apply knowledge of District and state policies, regulations, and school laws
  • Knowledge of office methods and operation of office equipment
  • Knowledge of business English, grammar and composition
  • Ability to manage students
